Position Summary:
The Regional Payroll Specialist oversees payroll operations for multiple locations within a designated region, ensuring timely, accurate, and compliant processing of employee compensation. This role is responsible for supervising payroll staff, maintaining regulatory compliance, and serving as the key liaison between HR, Finance, and external partners regarding payroll-related matters.
Key Responsibilities
Supervise the end-to-end payroll process for regional employees across eastern Canada, in various payroll systems and multiple payroll registers
Pull, manage and verify reports for hourly employees from electronic time software tools
Ensure accurate processing of payroll, benefits, bonuses, commissions, and personnel and payroll changes
Monitor and maintain compliance with federal and provincial payroll legislation, including CRA regulations and Employment Standards
Reconcile payroll records, remittances, and journal entries; prepare reports for management
Liaise with HR to ensure accurate employee data, such as new hires, terminations, leaves, and status changes
Benefits and RRSP administration including, enrollments, ensuring appropriate deductions from payroll, terminations and remittances, and vacation tracking
Coordinate with Finance on month-end/year-end processes, including T4s, ROEs, and audits
Collaborate on system upgrades, integrations, and continuous improvement initiatives
Identify automation within payroll software and provide/create various reports
Maintain confidentiality and ensure data integrity
Coordinate with human resources and other departments to ensure proper flow and maintenance of employee files
Review and code employee expense reports
Serve as a point of escalation for complex payroll issues
Produce accurate ad hoc reports as requested
Basic Qualifications
PCP (Payroll Compliance Practitioner) designation required; CPM (Certified Payroll Manager) preferred
Minimum 5 years of payroll experience, including at least 1–2 years in a senior role
Strong knowledge of Canadian payroll regulations, including all Ontario
Experience with payroll systems including ADP, Ceridian, and Workday
Knowledge of ERP systems, Microsoft Business Central and Navision
Excellent attention to detail and analytical skills
Strong leadership and communication abilities
Flexible and adaptable to changing priorities
Strong Microsoft capabilities including excel, word and office
