Position: Maintenance & Inventory Coordinator Reports to: Maintenance Manager
Salary Range: $65,000 to $80,000CAD

We’re looking for a Maintenance & Inventory Coordinator to join our team! You’ll work closely with the Maintenance Manager to order and manage parts, maintain inventory, coordinate with vendors, and support smooth maintenance operations. The ideal candidate is organized, detail-oriented, and great at multiple tasks in a fast-paced environment.

Skills & Experience
Preferably experienced with mechanical systems or manufacturing operations
Strong communicator with the ability to collaborate effectively with diverse teams and personalities
Proficient in MS Office and familiar with AutoCAD, SolidWorks, and CMMS or similar parts/maintenance management systems
Demonstrates intellectual curiosity with strong analytical and problem-solving abilities
Education
Currently pursuing or have completed a Diploma or Degree in Mechanical, Electrical, Industrial Engineering, or a related technical field
Alternatively, working toward a journeyperson certification such as Parts Technician, Millwright, or Electrician
Nice-to-Have
Experience in a food manufacturing environment
Things you will do…
Maintain and regularly update all maintenance-related inventory records
• Investigate and reconcile inventory discrepancies
• Verify part specifications and equipment components as needed, which may require accessing hard-to-reach areas, including climbing ladders, kneeling, or crawling under equipment.
• Organize and properly store maintenance parts and materials; some components may be heavy and require team lifting or the use of a pallet jack or forklift.
• Generate reports to provide clear visibility on current inventory levels and usage trends
• Perform accurate data entry for weekly and monthly inventory counts
• Monitor and track the progress of requisitions, contracts, and purchase orders
• Review requisition requests to confirm accuracy, proper terminology, and correct specifications
• Assess inventory levels to ensure materials meet operational needs; place orders as required and establish minimum/maximum stock levels for all parts
• Organize, maintain, and review purchasing documentation, including files, reports, and pricing lists
• Inspect incoming shipments to verify correct fulfillment and compliance with product specifications
• Coordinate with suppliers to arrange or expedite deliveries, and resolve issues related to shortages, late shipments, or delivery errors.
• Evaluate pricing, specifications, and delivery timelines to determine the most competitive supplier options
• Respond to maintenance team inquiries regarding order status, changes, or cancellations
• Support and participate in continuous improvement initiatives
• Assist in planning and scheduling preventive and corrective maintenance tasks
• Ensure all maintenance documentation (SOPs, safety procedures, equipment manuals) is organized and accessible
• Help develop and implement standardized processes for parts handling, storage, and labeling
• Coordinate with Maintenance Supervisor/Manager on budget tracking for spare parts and supplies
• Ensure compliance with safety, quality, and regulatory requirements related to maintenance materials and vendors
• Liaise with external service providers for equipment repairs, calibrations, and inspections
• Identify opportunities to optimize inventory levels, reduce costs, and improve workflow efficiency
• Perform other duties as assigned
