The Receptionist role serves as the initial point of contact for visitors and callers to an organization. This role plays a critical part in creating a positive first impression, ensuring smooth office operations, and providing excellent customer service.
Responsibilities
Greet and welcome visitors with a friendly and professional demeanor.
Answer phone calls, screen and transfer them appropriately.
Maintain a clean and organized reception area.
Provide information to visitors, including directions within the facility.
Issue visitor badges and maintain visitor logs for security purposes.
Ensure all visitors sign in and out as per company policies.
Notify staff members of visitor arrivals or scheduled appointments.
Sort and distribute incoming mail and packages.
Prepare outgoing mail and packages for shipment or courier pickup.
Assist with administrative tasks such as data entry, filing, and photocopying.
Manage office supplies and place orders when necessary.
Provide exceptional customer service to all visitors, clients, and employees.
Address inquiries and requests in a helpful and professional manner.
Manage multiple tasks efficiently, including handling phone calls, assisting visitors, and performing administrative duties.
Qualifications
Education & Work Experience
High school diploma or equivalent experience and one year experience in a receptionist or administrative role.
Competencies and Skills
Proficiency in using office equipment, including multi-line phone systems and computers.
Strong organizational skills and attention to detail.
Pleasant and professional appearance and demeanor.
Ability to handle sensitive information with discretion.
Customer service-oriented attitude.
Basic knowledge of office software, such as Microsoft Office Suite.
Working Conditions
This job will work out of an office environment, seated at the front desk.
May require extended periods of sitting, answering phone calls, and using a computer.
Interaction with visitors and staff is a regular part of the role.
