The Training Coordinator supports the Manager of Training with the coordination, and scheduling of training programs. This role works with Program Facilitators to ensure they have the support they need to provide students with quality learning experiences. This is a full-time in office position.
Key Responsibilities
Communicate effectively with all teams to ensure an effective yearly program schedule with seamless transition, to support a positive and smooth student experience with program delivery. Understanding the interconnectivity of different program components and the impact of changes/updates on different groups.
Assist in the development of a class schedule for numerous ongoing programs; ensuring that changes are recorded and communicated to all relevant team members.
Assisting with summarizing/collating evaluations and other information required to assess programs.
Provide ongoing support and communication to ensure smooth overall delivery of student programs by assisting with logistics and delivery details including proper formats, scheduling, staffing and room allocation.
Source and rent equipment and troubleshoot, as needed, to address any logistical or resourcing challenges. This may include miscellaneous administrative responsibilities such as registering students for third-party training online, facilitating road test scheduling, or other as needed.
Booking vendors/instructors and ensure that they are properly oriented with WBF policies.
Assist with answering WBF’s phones and receiving deliveries
Provide administrative support for programming in areas of record keeping, scheduling meetings, and invoice processing.
Input program tracking data into appropriate electronic files and databases.
Support Program Facilitators to create orientation binders and print/distribute required course materials.
Support Program Facilitators in preparing and distributing student and staff contact sheets, distributing personal protective equipment (PPE), graduation certificates and other items as required.
Participate in special projects/related duties as may be required to ensure the success of WBF. Examples include: organizing travel logistics, assisting with sourcing, and booking facilities or arranging materials for remote programs.
Organize training-related special events such as instructor meetings or graduation ceremonies.
Coordinate the ordering of required materials for shop and office activities.
Education & Experience
Completion of post-secondary education.
3+ years experience working in a dynamic, fast-paced environment, preferably administering, or coordinating training programs.
Previous experience working with trades training and apprenticeship is an asset.
Strong verbal and written communication skills, fostering teamwork to work in a collaborative environment.
Excellent organizational skills with ability to manage and prioritize multiple ongoing tasks.
Advanced Microsoft Office skills and database experience. Experience working with customer relations management database and/or learning management systems
Awareness of the challenges of women entering non-traditional trades as well as cultural, economic, and social barriers to adult learning and employment
