Job Description: POSITION PURPOSE SUMMARY: The Administration Manager oversees the administrative operations of the Ministry Unit, provides executive-level support to the Executive Director, and ensures effective functioning of organizational systems including administrative workflows, HR administrative support, financial documentation processes, and Workday Operations Support (WOS). The role supervises the Administrative Assistant and Volunteer Coordinator, maintains personnel and volunteer records, coordinates administrative compliance requirements, and serves as a key member of the Ministry Unit management team. ACCOUNTABILITIES: The incumbent may perform all, some, or similar duties to those listed below: • Provide executive administrative support to the Executive Director including scheduling, agenda preparation, briefings, minutes, correspondence, document drafting, and meeting coordination. • Lead and oversee administrative workflows across the Ministry Unit to ensure consistency with TSA policies, documentation standards, filing systems, and organizational procedures. • Supervise the Administrative Assistant and Volunteer Coordinator, providing direction, performance guidance, training, and task prioritization in accordance with TSA policy. • Complete Workday Operations Support (WOS) tasks including job requisitions, job changes, onboarding steps, and data administration on behalf of MU leadership. Maintain confidential employee personnel files and ensure compliance with TSA HR documentation standards; support onboarding processes and training records. Oversee volunteer records, screening documentation, file standards, and compliance requirements (content of volunteer programs is overseen by Volunteer Coordinator). Coordinate administrative processes required by DHQ/THQ including reports, policy updates, documentation submissions, and compliance filings. Oversee administrative aspects of financial documentation including AP/AR support, occupancy fee documentation, donation documentation, and budget preparation support. Maintain administrative systems including recordkeeping, document control, archiving procedures, and compliance documentation related to MU programs. Participate actively as a member of the Ministry Unit management team, contributing to administrative governance, planning, and systems improvement. Support internal communication processes, ensuring staff receive timely and accurate administrative information. Oversee office resources including supplies, forms, administrative tools, and general office organization. Perform other duties as assigned. MANAGERIAL RESPONSIBILITY: • Reports directly to: Executive Director • Direct reports: Admin Assistant, Volunteer Coordinator FINANCIAL AND MATERIALS MANAGEMENT: • Moderate material responsibility, which may vary throughout the year (e.g., Christmas season major fundraising campaigns, etc.). • Oversight of MU finances in cooperation with Executive Director and Finance Department • Regular responsibility for minor financial matters and for wise use of own resources. EDUCATION, EXPERIENCE, AND QUALIFICATIONS: • Willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities. • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army’s health and safety policies and procedures. • Ability to provide an original copy of a Background Check that is satisfactory to The Salvation Army, in its sole discretion, is required, including Child Check (if appropriate). Education, Qualifications and Certifications: • Completion of a formal post-secondary program of three years in a related field. • An alternative combination of education and experience may be considered. Experience and Knowledge: • Minimum of three years of administrative and supervisory experience. • Experience supporting HR administrative processes, executive leadership, or financial documentation workflows considered an asset. • Familiarity with social services environments is an asset. Skills and Capabilities: • Strong leadership, integrity, discretion, and ability to maintain confidentiality. • Strong communication skills (oral and written). • Advanced proficiency with Microsoft Office and web-based systems including Workday. • Strong organizational and time-management skills with the ability to manage competing priorities. • Ability to supervise unionized staff and work effectively within a management team. • Attention to detail and accuracy in administrative processes. Compensation: The target hiring range for this position is $51,873.29 to $64,841.61 with a maximum of $77,809.93. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
