What You'll Be Doing
As a Service Coordinator, you’ll be at the heart of the service operation—making sure every work order, invoice, and technician hour is tracked and processed accurately. You'll play a key administrative role, ensuring smooth communication between departments, organizing service records, and monitoring performance metrics like payroll and WIP. With a strong focus on customer satisfaction, you'll also handle incoming calls, support service scheduling, and assist with event planning or special projects. Whether it’s billing, coordinating trucking, or improving workflow, your attention to detail and dedication to excellent service will help the team deliver a top-tier customer experience every day.
Responsibiliites
Provide Premier Equipment’s customers with an above-average level of support, encouraging loyalty and professionalism while enhancing the customer experience.
Support customer service and corporate initiatives on a daily basis.
Promote teamwork and a “Customer First” mindset across Service, Parts, and Sales departments within and between branches.
Perform all administrative tasks for the Service Department, including opening, maintaining, commenting on, invoicing, and filing internal, external, and warranty work orders.
Ensure all accounts payable invoices use the purchase order system and are posted to the appropriate work order; apply proper G/L account numbers to all invoices before forwarding to Accounts Payable.
Monitor the Service Department’s payroll daily to ensure accuracy in technician hours and labor performance.
Monitor WIP (Work In Process) daily to maintain a minimum 100% WIP ratio, aiming toward the benchmark of 75%.
Ensure all miscellaneous charges (e.g., service accessories, trucking, service calls, dyno charges) are applied appropriately to each work order.
Assist the Service Manager in reducing lost time.
Identify and support opportunities to reduce departmental expenses through process improvements or cost-saving measures.
Schedule all service department trucking as needed.
Promote a safe, clean, and healthy work environment in the Service Department.
Assist with incoming store phone calls.
Support the Service Manager with special events and projects as required.
Qualifications
Basic understanding of accounting practices.
Proficient in Microsoft Office and standard internet applications.
Customer service experience or skills.
Knowledge of general office procedures.
Strong organizational and communication abilities.
Comfortable working in a fast-paced, team-oriented environment.
Availability for rotating Saturdays.
Preferred
General understanding of mechanical or technical terms.
Prior experience in a dealership or service department.
Education
High School Diploma or Equivalent
