The National Police Federation is currently hiring a Legal Administrator Supervisor for a 14-month term to join our team.
Overview of the Role: The Legal Administrator Supervisor (LAS) reports to the Legal Services Manager (LSM). The LAS provides managerial support to the LSM by overseeing and coordinating day-to-day operations of the Legal Services Administrators (LSA), notably by overseeing their tasking/workloads and managing their performance. The LAS is also responsible for overseeing various Legal Services administrative projects, including maintaining Legal Services standard operating procedures and quarterly file data collection and is pivotal in streamlining legal operations and ensuring efficient case management.

Key Responsibilities:
Managerial Duties
Support the LSM in overseeing the day-to-day operations of the Legal Services Department, which includes but is not limited to workload management, delegation/sub-delegation of tasks.
Oversee, supervise, and manage LSAs, which includes but is not limited to task assignment, workload management, professional development, leave and expense request and performance management and assessments.
Ensure Legal Services SOPs are being followed and that all files/inquiries are being properly recorded, monitored, actioned and tracked.
Ensure the proper administration of the Legal Services Department, which includes but is not limited to ensuring service standards are being followed, file deadlines are identified/met, etc.
Oversee and manage Legal Services administrative projects, including liaising with other Legal Services staff when subject matter expertise is required.
Provide administrative mentorship and guidance to all legal services staff, notably in relation to NPF file management systems.
Identify administrative resourcing needs/requirements.
Legal Services Administration
Support the LSM in the creation and/or maintenance of Legal Services corporate memory.
Support the LSM in the creation and/or modernization of Legal Services Standard Operating Procedures (SOP), notably by identifying and/or implementing best practices.
Ensure proper development and use of departmental resources (i.e. shared inbox and calendar, internal guides, counsel referral lists, etc.).
Act as the first point of contact for inquiries related to Legal Services administration processes.
Oversee the administration of key Legal Services platforms such as Scarlet and GaLexy and represent the Legal Team in all related and relevant Committees.
Identify administrative/procedural issues and recommend solutions.
Support the LSAs with their workloads, notably when time-sensitive inquiries/files are received.
Provide cross-departmental support to NPF staff who use/rely on Legal Services platforms.
Support the LSM with training new Legal Services staff.
Support the LSM in developing risk management protocols.
Monitor and optimize the NPF file management systems and ensure all legal matter/inquiry datapoints are captured by the Legal Department’s file trackers.
Draft briefing memos, letters, reports, presentation, minutes, and other documents.
Assist with creating NPF resource documents.
Assist with creating Legal Services presentations.
Maintain a repository of Legal Services tools/templated responses.
Perform Legal Administrator tasks (file triage, external counsel assignment, support in-house counsel, etc.) as required.
Data Review, Statistics and Reporting
Ensure the proper use and maintenance of all Legal Services internal trackers.
Oversee and review Legal Services files/inquiries to ensure data quality and accuracy.
Support the LSM in ensuring that all Legal Services reporting requirements are met, including the creation of quarterly office reports, presentations to the Board of Directors, etc.
Identify and report any trends or activity that warrant review.
Qualifications:
College diploma or certificate in Office Administration, Business Administration, or a related field and some years (minimum 2) of experience in office administration or in a related field OR a high school diploma with several years (3-5) of experience in office administration or in a related field.
Minimum of 2 years of experience working in a busy legal environment.
Experience managing strict timelines.
Experience working with confidential material.
Bilingualism is an asset.
Minimum of 2 years of NPF Legal Services Department experience
Knowledge of various RCMP administrative/labour processes.
Ability to identify and follow strict deadlines.
Ability to summarize legal matters to internal lawyers and administrators.
Ability to explain/breakdown job responsibilities/tasks to colleagues/new hires.
Ability to delegate tasks to administrators when appropriate.
Highly proficient with Microsoft Office productivity tools.
High degree of comfort with confidentiality principles.
Ability to adapt to changing situations, new ideas, and concepts.
Exceptional interpersonal skills, including the ability to build professional relationships across all aspects and levels of the NPF.

Compensation & Other Important Information:
The starting base salary, depending on qualifications/experience, for this position is between $71,984.64 - $83,982.08 range.
While some travel is required for this role, our remote work model includes flexibility in completing work hours and a philosophy in promoting a positive work-life balance.
