As a Real Estate Paralegal at Precise Property, you will play a key role in supporting our property management operations by ensuring the accurate preparation, administration, and maintenance of commercial and industrial leases. You will collaborate closely with internal teams including accounting and property management, as well as external legal counsel, to ensure lease documentation is accurate, compliant, and executed efficiently.

Position Summary:
• Prepare, draft, and coordinate commercial and industrial lease agreements (new leases, renewals, amendments, and assignments), primarily for commercial properties, with support from external legal counsel. Act as the primary liaison between lawyers, brokers, tenants, and internal stakeholders to ensure all documentation is complete, accurate, and compliant.
• Perform full-cycle data entry of lease and sublease information, including detailed clauses (e.g., special conditions, exemptions), referencing official legal documents and adhering to Precise Property’s established procedures.
• Input and maintain tenant information such as contact details, payment methods, and lease terms in the system (Yardi).
• Interpret lease clauses and draft concise lease summaries to support internal stakeholders, ensuring clarity for operational and financial decision-making.
• Configure lease parameters and calculations, including rent escalations, indexations, percentage rents, tenant improvement allowances, recoverable costs, security deposits, and rent roll adjustments.
• Update annual rates for additional rents (e.g., CAM, promotional fees, property taxes) based on data provided by Property Accountants.
• Generate lease management reports and analytics (e.g., occupancy, floor areas, temporary leases, tenant movements).
• Monitor and update critical lease dates (e.g., conditions, expiries, renewals, assignments) in the system.
• Foster synergies with internal teams, including real estate accounting, while working in direct collaboration with the CEO. Maintain open and proactive communication to keep him informed of key developments, priorities, and outcomes, ensuring alignment without requiring day-to-day supervision.
• Draft complex commercial and industrial lease documentation for both Quebec and U.S. sectors, ensuring accuracy and compliance with regional legal standards.
• Coordinate lease execution, delivery of premises, and Landlord’s Work.
• Take ownership of insurance renewals and property financing documentation—an independent and significant component of the role requiring strong attention to detail and follow-through.
• Maintain corporate records, REQ filings, and minute books, ensuring all documentation is accurate and up to date.
Qualifications:
• Minimum of five to seven years of experience in a similar real estate paralegal or lease administration role, preferably within commercial or industrial real estate.
• Bilingualism (French & English, verbal and written) – non-negotiable.
• Proficiency in Microsoft Office Suite.
• Strong working knowledge of accounting systems, particularly Yardi, is considered an asset.
• Detail-oriented with excellent organizational and analytical skills.
• Ability to work collaboratively across departments in a fast-paced environment. Confident in communicating directly with the CEO, asking questions, and maintaining open, solution-focused dialogue.
• Asset if diploma or formal training in Law, Paralegal Studies, Finance, or a related field.
