Your opportunity:
Under the general direction of the Assistant Director, Campus Safety, this position will support administrative activities for senior staff as well as a variety of projects and events within the UTSC Campus Safety portfolio. Utilizing your strong organizational skills, the incumbent will coordinate schedules, agendas, and prepare/track project documentation and reports. The Administrative and Project Coordinator will assist with communication activities for the department by creating and maintaining content for web sites, editing content for brochures, newsletters, and/or handbooks and development of promotional materials. This role requires a proven track record of successfully supporting senior management and projects in a results-oriented environment, to ensure the effective and efficient operation of the Campus Safety department.
Your responsibilities will include:
- Handling sensitive and/or confidential information
- Creating and updating records
- Maintaining information on digital platforms
- Keeping well-informed on University programs, policies and procedures
- Responding to enquiries within the defined scope of the role and redirecting as appropriate
- Resolving issues within the scope of the role and escalating problems as required
- Determining logistical details and activities for events and/or programming
- Processing payroll
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum three years of relevant and progressive project coordinator and administrative support experience.
- Demonstrated project coordination experience, including process development, implementation and evaluation in collaboration with multiple stakeholders.
- Demonstrated experience coordinating schedules, committee meetings and agendas, and events.
- Extensive experience using the MS Office365 suite such as Word, Excel, PowerPoint, OneDrive, SharePoint and Teams.
- Experience in creating content for publications, websites and using social media.
- Must have highly developed organizational, time management and communication (written and oral) skills.
- Excellent interpersonal and problem-solving skills and a commitment to delivering the highest level of customer service.
- Able to use tact, discretion, maintain confidentiality, flexibility and sound judgment.
- Possess a high degree of initiative and creativity as a strategic thinker and the ability to work in a diverse team environment.
- Ability to interact and communicate effectively and professionally to a wide range of individuals across all levels of the University.
- Ability to effectively manage multiple projects/tasks of varying complexities, meet deadlines and work well under pressure.
- Demonstrate commitment to accuracy and attention to detail; ability to work well as a member of a project team.
