Your opportunity:
Reporting to the Department Business Officer and working closely with the Undergraduate Administrator, and with the Undergraduate Chair, the Undergraduate Assistant provides administrative support for the undergraduate program which includes administrative support for the urban studies program, administrative tasks to support the teaching assistant workflow process, as well as other undergraduate program activities. This is a term position until June 2027.
Your responsibilities will include:
- Providing detailed information to students on program and/or course requirements
- Acting as the first point of contact for general enquiries, disseminating program and/or service information
- Coordinating the recruitment and training process for teaching assistants
- Receiving and passing on evaluation materials for review
- Maintaining information on digital platforms
- Handling sensitive and/or confidential information
- Preparing draft employment letters using templates
- Generating reports
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable equivalent combination of education and experience.
- Minimum two (2) years’ relevant experience in a post-secondary or similar environment providing program and process information, administrative support, and other assistance to students, faculty, and visitors.
- Experience working with academic and student related programs, practices, and procedures.
- Experience providing front-line service and detailed explanations to prospective & current undergraduate students from diverse backgrounds.
- Demonstrated experience with generating and extracting reports to produce and format documents and spreadsheets.
- Experience taking minutes for meetings and using survey creation tools.
- Strong computer skills, including proficiency with MS Office (e.g. Word, Excel, Outlook, Teams, etc.), databases and group scheduling software.
- Demonstrated advanced skills with ROSI, ROSI Express, eMarks, Degree Explorer, Quercus, or other similar student or equivalent information systems.
- Demonstrated ability to take initiative and work proactively.
- Demonstrated ability to follow and maintain processes and implement workflow improvements.
- Strong organizational skills to coordinate logistics of meetings and events.
- Excellent organizational and time-management skills with demonstrated ability to meet deadlines, and to manage competing, new, and changing priorities.
- Demonstrated strong client service orientation and ability to communicate with tact, diplomacy, and discretion on handling confidential information.
- Excellent written and verbal communication and interpersonal skills.
- Strong attention to detail, ability to enter data and maintain processes with detail and accuracy.

- Experience working with the University of Toronto, and/or Faculty of Arts and Science undergraduate practices and procedures, and the University of Toronto fees schedules.
