Job Overview :
We are seeking a professional, friendly and organized Front Desk \& Executive Assistant. This role combines front-of-house responsibilities with a range of administrative duties in support of our executive leaders. The ideal candidate will be resourceful, detail-oriented, and capable of managing multiple priorities in a fast-paced logistics environment.
Key Responsibilities:
Reception \& Office Coordination
· Greet and assist clients, drivers, couriers, and visitors with professionalism and warmth.
· Manage incoming calls using VoIP systems and direct inquiries appropriately.
· Coordinate incoming/outgoing mail and packages, including cheque deposits.
· Maintain a clean and organized reception area.
· Coordinate office events and celebrations, including staff milestones and seasonal gatherings.
· Track and order office supplies and maintain inventory.
· Manage general inquiries via phone and email, providing accurate and timely responses.
Executive Administrative Support
· Provide scheduling, travel booking, and meeting coordination support to executive leaders.
· Prepare high-quality documents, presentations, and reports using Microsoft Office (Word, Excel, PowerPoint).
· Assist with internal communications and occasional content updates for the website or social media.
· Support document management, data entry, filing, scanning, and archiving.
· Assist with ad hoc projects and support various departments as needed.
Qualifications \& Experience
· 3 years in an administrative or reception role preferred.
· Executive assistant experience is considered an asset.
· Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential.
· Strong organizational and multitasking skills with a high level of attention to detail.
· Excellent written and verbal communication skills.
· Professional demeanor and a customer-service mindset.
· Comfortable handling confidential information.
· Able to work both independently and collaboratively in a team setting.
