Job Overview
Reporting to the Senior Vice-President, Qualico Properties, as the Executive Assistant you will provide administrative support and services to the Executives. You also act as a representative, liaising with individuals and organizations on behalf of the Executive, and provide key resources and information to ensure the Executives are as effective as possible.
Your Day-to-day Responsibilities Will Include:
- Working collaboratively with the Executives to move major initiatives forward that form part of short-term/long-term strategic plans and annual operating plan objectives.
- Managing calendars, scheduling and arranging for meetings, appointments and events as required. Preparing detailed travel plans and arranging for all travel necessities.
- Acting as a representative of the Executives to liaise with internal and/or external parties.
- Managing files and record-keeping in an updated and accurate manner. Organizing documents for distribution and coordinating delivery in a timely manner.
- Monitoring and relaying telephone messages from internal and external sources to the Executives.
- Attending meetings, taking and distributing meeting minutes when necessary and following up on assigned action items.
- Researching and analyzing memoranda, submissions and reports to prepare and coordinate the submission of summary briefs, internal and external communication materials or reports for the Executives.
- Acting as a liaison for technology needs, troubleshooting and contacting IT as needed.
- Planning and coordinating various company initiatives and events, including donation requests and ticket distribution.
- Establishing and maintaining administrative policies and procedures.
- Handling confidential business and personnel information with integrity.

Essential Requirements:
- Degree/Diploma or professional administrative designation.
- Minimum 6 years of administrative or secretarial experience.
- Valid driver's licence and access to a reliable vehicle.
- Satisfactory verification of criminal record check.
- Proficient in utilizing Microsoft Office programs (Outlook, Word, Excel, Access, Teams, SharePoint and PowerPoint).
Preferred Requirements:
- Previous experience supporting company executives is preferred.
