Your opportunity:
Medical Biophysics is an interdisciplinary graduate department in the Temerty Faculty of Medicine at the University of Toronto. Our scientists work in Research Institutes including the Princess Margaret Cancer Centre, Sunnybrook Research Institute, and the Hospital for Sick Children.
The focus of the department is on research. TheMSc program is a common entry point, but the emphasis is on the PhD program. Our graduates hold leading positions in fields ranging from Academic, Pharmaceutical Industry & Biotechnology to Government, Education and Professional Practice (Medicine, Law and Business). Graduate research cuts across the conventional boundaries of physics, engineering, chemistry, mathematics, biology and medicine. Interdisciplinary research is at the heart of the program.
The Program and Administrative Coordinator you will support the day-to-day operations of our department. Your keen attention to detail and organizational skill will be key to essential duties of the role, including scheduling committee meetings and coordinating space and resources, determining logistics for events and programming, delivering examination booklets and handling basic fees and issuing receipts. Your enthusiasm and excellent interpersonal skills will contribute to the success of our department.
Your responsibilities will include:
- Acting as a first point of contact, responding to inquiries and providing detailed information on program and course requirements.
- Scheduling appointments for prospective students, applicants, and current students to address individual needs
- Scheduling meetings, courses/modules and seminars
- Coordinating room bookings and troubleshooting timetabling as needed
- Receiving and checking completeness for award competition submissions, passing them on for review
- Maintaining records and generating reports
- Assisting with the coordination and communications related to the weekly student seminar series
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience
- Minimum two years of related experience, preferably in an academic environment
- Demonstrated student service experience including collecting applications for awards and checking for completeness, coordinating examination timetables and program activities and coordinating the process for assignment submissions, grades and course evaluations
- Experience supporting committees and coordinating logistical details for events
- Experience providing detailed information on program and course requirements and policies, scheduling appointments for prospective and current students to address individual needs
- Demonstrated experience managing databases and generating reports
- Advanced technical skills in MS Office and student information systems
- Exceptional interpersonal and communications skills (both verbal and written) with a strong customer focus
- Ability to follow documented procedures and guidelines and communicate these to others to ensure compliance
- Proven ability to work independently and effectively manage high volumes and varied duties with competing deadlines
- Attention to detail and accuracy is essential
