Job Title: Assistant Editor

Reporting to the Senior Vice-President \& Executive Publisher, and offering support to the Editor in Chief, and will provide editorial and administrative support.
Responsibilities
Editorial Responsibilities 20%
- Provides editorial support to the SVP, Publisher of HCC as required, including such tasks as preparing draft revision and rejection letters, evaluating suitability of books for the program, assisting with first reads, author revisions; corresponding with authors and agents; line editing with supervision; sending copyedited manuscripts to authors and relaying queries to production editor as a point-of-contact
- Contributes to the HCC program including offering editorial opinions on potential new acquisitions, preparing title sheets and metadata, writing cover and flap copy, writing editorial letters (with supervision), preparing cover concepts.
- Processes all incoming and outgoing submissions within HCC guidelines. Logs and distributes submissions. Forwards submissions to appropriate editors within guidelines.
- Takes and circulates editorial and publishing meeting minutes. Prepares Publishing Board memos, circulates supplemental materials prior to meeting, and displays covers and cover briefs for discussion
- Participates in department meetings including editorial and publishing meetings, department meetings, ideas summits
- Presents new projects at editorial and publishing meetings as requested. Makes presentations at launch meetings on behalf of Publisher and other editors, as requested.
Administrative Responsibilities (75%)

Provides administrative support including such tasks as creating reports, competitive analyses and presentations; establishing and maintaining electronic file systems, making travel arrangements as required, booking internal and external meetings, directing queries to appropriate individuals, maintaining first print archives, setting up new vendors on RiskCenter and processing invoices, general printing and mailing. Manages requests from other HC offices and internal departments for manuscripts, cover copy, prelim materials, circulates advance quotes and reviews.

Archives Publisher's inbox semi-annually to maintain publishing records

Processes and submits Publisher's and Editor-in-Chief's expense reports

Organize in-office HCC author toasts and book signings

Organizes annual International Visitors Programme lunch and party and Vancouver Writers Fest party, alongside Editor-in-Chief. Manages event space and catering budget. Creates guest lists and manages RSVPs. Troubleshoots onsite operations on day-of events.

If an intern joins the editorial team, the Assistant Editor would:

Supervise the editorial intern, help establish intern's goals, oversee the intern's work and ensure the intern receives solid training and experience in relevant areas of the editorial process. Work with Rights, Contracts, Art \& Production as well as the Editorial team to provide basic experience for the intern.

Manages the Philanthropy/Donations budget with direction from the Publisher.

Routes cover copy; covers; co-pub and 2nd edition transmittal forms; pre- and post-copyedited manuscripts; author changes; art log and captions; and alt text captions in Rsuite to send to production.

Using the Biblio system to input pre-acquisition P\&L's, deal memo's, metadata etc.
Special Projects 5%
- Preparing slideshows for talks/meetings/presentations
Qualifications
- Creativity, enthusiasm, and a love of books
- 1-3 years of experience in publishing
- Post-secondary education in a related field
- Publishing Program Certificate would be an asset
- Knowledge of Canadian publishing industry
- Attention to detail
- Proficient with Microsoft Office applications
- Able to multi-task, determine priorities, and remain cool under pressure
- Strong written and oral communication skills
