Responsibilities
- Provide a bridge for smooth interaction between the COO and CDCO and the company's stakeholders by managing the professional calendar for optimal efficiency;
- Manages projects and deadlines on behalf of the executives;
- Screen, respond to and redirect mail and email, as appropriate; follow-up on deadlines and commitments to ensure all business items are appropriately executed; and support on escalated customer service or employee issues as needed;
- Leverages pristine communications skills to craft messaging on behalf of the COO;
- Plan and execute on assigned budgets.
- Assist in planning and executing events, such as Lunch \& Learns, Town Halls, as well as external conferences;
- Book and confirm all travel and hotel arrangements, prepare itineraries and store documents accordingly;
- Tracks ongoing projects and is well-informed of related activities and associated materials;
- Main point of contact for team budget and coordination with Finance. Coordinates updates across the team;
- Assists with creating decks, taking notes, conducting research, and executing special projects as needed;
- Maintains a strong organizational system for all materials and information;
- Challenge the status quo by consistently identifying areas for improvement, diagnosing issues, and working to resolve them.
Qualifications Qualifications
- 7 years + of experience as an Executive Assistant (Experience supporting a C-Suite member operating in a national or global environment is highly desirable.);
- College or University degree in related field of study;
- Bilingual (French and English) to communicate with employees across Canada and external stakeholders;
- Demonstrated ability to prioritize multiple tasks, high attention to detail, and get things done quickly with limited direction;
- Problem-solving abilities; able to exercise independent judgment and make good decisions;
- Strong customer service orientation and ability to build strong relationships;
- Technologically savvy ; advanced knowledge and proficiency with Microsoft Office (Word, Excel, PowerPoint, and Outlook) and an aptitude to learn new programs;
- Ability to handle confidential and sensitive materials.
