Detailed OverviewUnder general supervision of the Manager the OR Booking Clerk prepares, maintains, distributes and makes revisions to the daily and weekly Operating Room (OR) slates using a computerized scheduling system, subject to review by a Registered Nurse. Maintains patient and surgical information by entering data into the computer and reviewing booking forms and filing other records related to booking procedures. Communicates with other OR staff, medical offices, and various hospital departments regarding surgical bookings, changes and revisions to surgical slates; prepares statistical reports to the Ministry of Health.
Responsibilities
- Reviews surgical booking packages for completeness such as surgery to be performed, lab work, pre-admission tests, special equipment needs, surgical assists and computer documentation as per established policies and procedures.
- Prepares, updates ands distributes daily and weekly OR slates using a computerized scheduling system by gathering patient information such as patient's name, type of surgery and attending physician. In collaboration with the Surgeon's office, assigns patient's to OR slates according to type and expected duration of surgery.
- Adjusts the initial slate using information such as changeover procedures and blood requirements; recommends staffing needs to ensure the effective and efficient utilization of surgical beds.
- Coordinates activities with OR Medical staff, medical offices and various departments regarding surgical bookings. Notifies appropriate areas of discrepancies or adjustments to be made to the OR slates.
- Notifies Bed Management of surgeries to confirm bed allocation for inpatient admissions when patients to be admitted exceed established guidelines to ensure effective and efficient utilization of surgical beds.
- Inputs patient information into a computer and maintains current computerized surgical waiting list for surgical procedures. Monitors surgical cancellations and reschedules according to established policies and procedures.
- Reviews and maintains current records for physician's vacations, on-call schedules, requests and acceptance of unused surgical blocks in order to effectively book procedures. Makes revisions to booking model and reviews bookings which have not been scheduled. Verifies and enters cancellations; re-files or returns documentation to physician's office.
- Adheres to surgical booking bed map guidelines.
- Maintains filing systems by performing duties such as indexing, labeling and filing materials.
- Assists in the preparing of statistics and waitlists by running reports as required by the Ministry of Health to ensure pertinent data is shared and appropriate utilization of Operating Room is maintained.
- Participates in the creating a safe and healthy work environment by understanding and following Health and Safety rules, regulations and practices.
- Participates in Continuous Quality Improvement activities to enrich and advance processes through the effective use of resources to meet the needs of the client.
- Performs other related duties as required.
QualificationsEducation and ExperienceGrade 12 and three years recent related experience or an equivalent combination of education, training and experience.
