Reporting to the General Counsel, the Executive Assistant is responsible for providing administrative support to the General Counsel, as well as the Vice President, Legal and certain other members of the Legal department.

Responsibilities:
Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
Manage supported calendars by determining priorities and urgent situations, scheduling meetings and making changes and adjustments as required
Intake and manage invoices from law firms, including administration of the Brightflag system once implemented
Screen and handle all incoming inquiries and serve as a point of contact for the legal team
Assist with onboarding/offboarding, internal department changes/desk assignments, card access, and IT troubleshooting
Coordinate complex domestic and international travel arrangements, prepare detailed travel itineraries and handle check-ins, as well as all flight, hotel, and car service bookings in advance of travel
Open and close legal files and maintains filing system
Handle renewals of professional memberships for the legal department
Perform ad-hoc research for special projects
Identify emerging issues, determines their urgency/priority, and compiles background information for timely and appropriate decisions and/or action
Support in handling emails and maintains a priority list of to do and follow-up actions
Prepare and drafts letters, reports and PowerPoint presentations
Support achievement of strategic goals and objectives through forward planning and time management
Complete and process expense reports
Fluidly adapts to changing environments and requirements (i.e. sudden meeting changes or travel requirements)
Maintain strict confidentiality with sensitive information, financial documents and personal matters
Qualifications:
Minimum of five years of experience in a senior support role within a fast-paced environment with a complex organizational structure. Experience with supporting lawyers would be an asset
High level of proficiency with core Microsoft Office applications, including Outlook, Word, Excel, Adobe Pro, SharePoint and MS Teams
Excellent English language skills (written and verbal)
The ability to speak, read and/or write Spanish would be an asset
Advanced professional interpersonal skills and ability to interact with various executive levels internally and externally
Ability to think critically, solve problems and make decisions independently under tight deadlines
Highly service-oriented individual with the ability to demonstrate tact, discretion, confidentiality, diplomacy, high energy, trustworthiness and sense of humour
Conscientious self-starter who enjoys working in a team environment, needs minimal supervision and can prioritize workload under pressure
Strong organization skills and attention to detail
Flexible and thrives in a fast-paced environment

$67,000 - $82,000 a year
The actual base salary offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
