What we offer
Mattamy Homes has a fantastic opportunity for a full-time Office Coordinator to work at our Calgary Office at the front desk providing support to the Business Operations and the Design Studio. This role represents the face of the company to our customers and clients and as such we are looking for a professional, friendly and enthusiastic individual to provide our guests with outstanding service Monday to Friday, 8:00am – 4:30pm. What you’ll do
Greet and welcome homeowners, other external customers and internal stakeholders in a professional and courteous manner and announce them to the appropriate person.
Distribute inbound and outbound mail and courier packages.
Accept paperwork and payments for Design & Sales teams from homeowners.
Schedule meetings, book meeting rooms and plan for equipment or refreshments as requested.
Ensure a professional appearance of all areas of the office, including common areas and boardrooms; as well as organize office maintenance and coordinate repairs on facility issues.
Manage office supplies for head office and sales centres/sites; maintain strong relationships with vendors and suppliers; negotiate best pricing and terms.
Manage shredding/recycling for head office and sales centres/sites.
Help coordinate key elements of new hire on-boarding (business cards, name plates, security FOBs, desk set-up, orientation days).
Manage Division Phone/Contact list.
Assist various departments with administrative tasks, as requested.
What you bring
Minimum of 2 years’ experience in an office environment.
Strong customer service background.
Strong ability to query guests and quickly problem solve.
Computer literacy with experience in MS Office applications including Microsoft Outlook, Teams, and SharePoint.
Ability to multi-task with flexibility in work style.
Good organizational and time management skills.
Enthusiastic and friendly, with professional customer service skills.
Detail-oriented with a high degree of accuracy.
Well-organized with the ability to multi-task and work under pressure.
Ability to work both independently and in a collaborative team environment.
Bonus points
Prior work experience in a similar role, especially in the construction industry.
