Provides support to the student, both in the Operational Training Unit (OTU) and transition to On Job Training (OJT). Ensures compliance with relevant policies and regulations in all aspects of operational training from recruitment to licensing as well as release from training and license maintenance. The position is the administrative focal point for all students arriving at the operational unit. Provides direction and support to the student during the training process in the Operation Training Unit ensuring they are aware of and adhere to company policies and procedures and relevant collective agreements. Develops and maintains a system of internal and external correspondence to track documents and review them for pertinence, format and timeliness. Coordinates the administration of internal management in the areas of records, accommodation, personnel, security, access to information, reference materials and audits. Assists in the planning of meetings and conferences during absences of the Manager. Prepares and provides oversight for Unit Operations, Quality Assurance Evaluations, and Transport Canada Audits. Maintains integrity of all training files in accordance with ATSAMM and CARS. Assists Manager with a 3-year training plan, development of associated budget, and qualification predictions. Prepares and submits licensing applications for air traffic controller licenses in accordance with Canadian Aviation Regulations, associated Standards and other guidance material issued under the authority of Transport Canada. Acts as liaison to Site Managers in providing advisory and consultation services regarding accurate completion of Air Traffic Control licensing documentation. Education/Occupational Certification: Successful completion of a secondary education or an approved equivalent. Experience: A minimum of 3 years of experience providing administrative support to multiple individuals. Experience analysing and interpreting documents in order to apply appropriate rules and procedures. Knowledge: Knowledge of MS Office applications, in addition to Workday, OASRS, ESS, OCMS. Knowledge of NAV CANADA policies, directives, and guidelines regarding operational training, as well as knowledge of Transport Canada policies and standards. Knowledge, interpretation and application of various collective agreements. Knowledge of NAV CANADA policies, directives, and guidelines regarding pay and benefits, budgets, security, travel, purchasing, correspondence, records, and confidentiality. Abilities: Ability to plan and organize work to meet objectives and deadlines. Ability to maintain files, records, and follow-up systems. Ability to communicate effectively orally and in writing. Ability to work in a team environment. Personal Suitability: Effective interpersonal skills, tact, diplomacy, cooperativeness.
