SUMMARY
The Facilities Coordinator supports the efficient operation of facility management activities, ensuring a safe, functional, and well-maintained environment. This role involves coordinating maintenance tasks, liaising with vendors, maintaining records, and supporting compliance with safety and operational standards for all Bethany sites, ensuring a safe, efficient, and welcoming environment. This role supports BCS organizational goals and positive workplace culture.
ESSENTIAL DUTIES, RESPONSIBILITIES, AND PERFORMANCE MEASURES
Maintenance Coordination & Support
• Perform and evaluate source solicitations including RFQ/RFP/RFI.
• Perform and analyze periodic and ad hoc procurement reports from procurement system.
• Perform cost structure analysis and negotiate best price with suppliers.
• Drive and achieve cost saving for sourcing program and purchase opportunity.
Vendor & Contractor Management
• Communicate with service providers and vendors to schedule repairs and maintenance.
• Ensure contractors complete work in compliance with safety and operational requirements.
Safety & Compliance
• Monitor and maintain health and safety compliance.
• Support technicians in performing safety inspections and maintaining logs.
• Ensure proper use of PPE and recommend replacements as needed.
Administrative & Inventory Management
• Maintain records of maintenance activities, contracts, and inspections.
• Track and manage inventory of supplies and equipment.
• Assist with procurement and vendor negotiations.
WHAT YOU BRING
Education
• Diploma or certificate in Facilities Management, Business Administration, or a related field.
Additional Experience & Skills
• 3+ years of experience in facilities coordination or maintenance administration.
• Experience in project coordination or management.
• Knowledge of building systems and maintenance practices.
• Experience using CMMS/IWMS facility management software.
• Background in healthcare or long-term care facility management.
• Knowledge of health and safety regulations
• Strong organizational and problem-solving skills.
• Ability to communicate effectively with various stakeholders.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
