JOB SUMMARY: Under the supervision of the clinic management, the office assistant/ second secretary provides administrative and clerical support within a private dental practice. The incumbent performs moderately to tasks using general instruction, assists the main secretary in day-to-day operations, and may act as a replacement in their absence. Hiring Unit: Dental Medicine and Oral Health Sciences Position Summary: 1. Confirms patient appointments via phone and email. 2. Books new and follow-up appointments, ensuring schedule accuracy and patient flow. 3. Answers incoming phone calls and voice messages, relaying information promptly and professionally. 4. Responds to emails from patients, insurance companies, and other external contacts. 5. Sending patient’s files and x-rays when demanded. 6. Processes patient billing and payment transactions accurately. 7. Communicates with insurance companies to verify coverage and submit claims. 8. Coordinates with dental laboratories for case submissions, pickups, and deliveries. 9. Supports the main secretary in daily administrative operations and may fully replace them when needed. 10. Maintains patient con?dentiality and ensures compliance with clinic protocols and privacy regulations. 11. Performs additional administrative tasks as assigned. Other Qualifying Skills and/or Abilities • High School Diploma or equivalent. • Minimum of 1-2 years of relevant experience in an administrative or clinical office setting, preferably in a healthcare or dental environment. • Familiarity with dental software systems (e.g., Abeldent,Dentrix, or equivalent) is an asset. • Strong organizational, communication, and multitasking skills required. • Ability to work independently and as part of a team.
