Your opportunity:
The Office of the Faculty Registrar works closely with academic units, other divisions and colleges at the University of Toronto, concerning virtually all matters relating to Arts and Science students. Our department members are dedicated to aid all students to the greatest extent, to make their university experience as smooth and seamless as possible. We coordinate personal, financial, and academic counselling, registration and enrolment, student records, transfer credit, petitions, final examinations, and graduation.
Under the supervision of the Associate Director, Scheduling & Examinations and the Examinations Specialist, this position is responsible for providing support for the effective and efficient preparation and administration, of final examinations, and post exam activities and services in the Faculty of Arts & Science (FAS). The Examination Assistant will be responsible for compiling examinations received for each course/section from the University print centre, ensuring the examination packages are complete, assembled, and ready for pickup by Chief Presiding Officers (CPOs) on their exam day. Additionally, the Examination Assistant will assist with the pick-up and drop-off of exam examinations materials, assist with the receipt, organization, and secure storage of all exams written by students and maintaining inventory of examinationmaterials. Additionally, this position will be responsible for invigilating exams and deferred exams as required.
Your responsibilities will include:
- Liaising with contacts to obtain exams and related materials
- Coordinating the receipt and storage of all examinations and related materials
- Processing student requests for exam re-reads, review and photocopies
- Following rules and procedural instructions when packing exam materials based on course sections
- Creating and updating records
- Resolving issues within the scope of the role and escalating problems as required
- Keeping well-informed on University programs, policies and procedures
- Providing some care to prevent physical or emotional injury or harm
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum two years of recent and related experience in theadministration of examinations and examination related activities in a University or post-secondary environment in a Registrar's office, preferably in the Faculty of Arts & Science.
- Experience with examination processes, working with databases, data review and analysis is required.
- Expertise in the use of MS Excel at an advanced level and experience with Student Information Systems, preferably ROSI is required.
- Demonstrated experience meeting deadlines in a fast-paced, high volume environment with a focus on attention to detail.
- Proven ability to deal effectively with intricate and varying tasks as well as adaptability to learn and work with specialized software.
- Excellent verbal and written communication, interpersonal and organizational skills
- Ability to deal tactfully and sensitively with students, staff and faculty.
