Reporting to the Manager, Human Resources, the Payroll Specialist is a customer focused position, providing payroll services (salary and hourly) and expert advice to employees, managers, and HR Business Partners. The ideal candidate possesses a friendly and approachable personality, a proactive, enthusiastic attitude combined with strong expertise in managing full life-cycle payroll.
Key Accountabilities:
Review timesheets and process payroll through Dayforce (Ceridian) on a bi-weekly basis for hourly and salaried employees. This includes both the Canadian (Ontario) and US (California, New York, and New Jersey) operations
Respond to requests from employees on all payroll related matters and questions
Prepare ROEs, T4s and manual cheques for final payments
Reconciliation of all government remittances and year end filings including T4, WCB, and EHT
Reconcile payroll prior to transmission and validate confirmed reports
Process journal entries pertaining to payroll on a bi-weekly basis and accrue payroll for the month end
Reconcile all payroll related accounts (both Balance Sheet and Profit and Loss)
Prepare and calculate off-cycle payments
Keep informed on Payroll legislations, regulation changes to ensure compliance with provincial, state and local requirements
Produce W2, complete year-end audits and reports (401K balances, FSA balances) to ensure compliance and accuracy.
Identify and implement efficiencies in Payroll processes
Receive, enter, answer, and maintain garnishments in accordance with federal requirements
Ad hoc projects as required
Skills, Experience and Education Required:
Post-secondary education in Business Administration, Finance or Accounting and equivalent work experience
CPM designation or in progress is required
Minimum 2-4 years full-cycle payroll experience running both Canadian and US payroll functions within a fast-paced environment
Detail-oriented, deadline oriented, attention to accuracy, and thorough combined with strong business acumen
Strong knowledge of both Canadian and US payroll legislation, Employment Standards, Taxation rules and year end reporting processes
Previous experience processing payroll in Ceridian, Dayforce preferred
Solid fundamental accounting knowledge
Experience with an ERP Accounting system
Proficient with Microsoft suite of products (Excel)
Ability to identify process improvements to improve efficiency and provide guidance to colleagues
Team player with strong interpersonal and communication skills (verbal/written)
Able to work effectively with minimal supervision
Previous experience with Payroll system implementation an asset
