The Wilder Institute/Calgary Zoo is seeking a permanent full-time Conservation Education Booking Representative who will be responsible for the administrative responsibilities for school programs, camps, Zoo School, team builders and other intermittent programs. This includes building programs for web sales, taking bookings, processing payments, inventory management, statistical tracking, report generation and responding to client queries. This role supports all program portfolios on the Conservation Education team and may contribute to projects such as program evaluation, content development and on-ground support.

What you will do:
Return client calls and emails within 24-48 hours
Send out client program evaluation survey forms for programs as needed
Respond to customer comments/concerns
Assist with creation of the annual school program schedule
Schedule and book high volume of programs including sending out confirmation letters and payment reminders
Process payments for bookings using Tessitura
Book programs in all necessary databases including Caterease, Tessitura, and Excel so all internal departments affected are informed of upcoming programs
Daily cash out
Create program tickets, request volunteers
Liaise with Call Centre staff on a regular basis to address customer needs
Update and maintain procedures for processes related to booking
Complete monthly monitoring statistical pulls, create reports as needed
Contribute to program evaluation planning and execution
Support content development and program delivery as appropriate
What you will bring:
At least 2 years of experience in an administrative capacity
A bachelor’s degree in business administration is an asset
A valid standard first aid certificate is required
Excellent planning, administration, and communication skills.
High energy, self-motivated and organized
Team-oriented with a willingness to work with staff and volunteers from across the organization
Enthusiasm for nature and interest in conservation
Advanced knowledge of Microsoft Suite
Proven history of taking initiative
Multi-tasking skills
Experience and comfort with public speaking is an asset
Additional Requirements:
This position will require submission of a Criminal Record Check with Vulnerable Sector Search
Working Conditions:
This office job involves telephone work, keyboard entry, administrative duties
Will involve contact with the public
Some amount of light to moderate load lifting (max 30 lbs).
