Summary
The Casual Administrative Assistant provides administrative and clerical support to ensure smooth daily operations. Working on an as-needed basis, this role requires flexibility, attention to detail, and the ability to quickly adapt to different tasks and departments.
Specific Responsibilities
Provide reception coverage, including answering phones, greeting visitors, and responding to inquiries.
Writing, editing and proofreading documents, correspondence, memos, proposals and reports as required.
Maintain electronic and physical filing systems.
Assist with scheduling meetings and preparing meeting materials.
Support data entry, record-keeping, and database updates.
Respond to internal/external inquiries and forward to the appropriate staff.
Coordinate travel requests and distribute notices and confirmations as required.
Complete payment of invoices, travel, expense claims, etc.
Maintain office files, equipment, and order office supplies when necessary.
Maintain a clean and well-organized work environment.
Perform other administrative tasks as assigned.
Qualifications
Certificate in Administrative Services from a recognized college, or an equivalent combination of at least two years of related experience, education, and training.
Strong knowledge of general office procedures, practices, and office equipment operations.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook), internet navigation, and database management.
Ability to work independently and in a team environment.
Excellent interpersonal, organizational and time management skills.
Understanding of First Nations culture, customs, values, and traditions is required.
Fluency in a First Nations language is considered an asset.
Experience working with First Nations Communities or within a First Nations organization is considered an asset.
