The Wilder Institute/Calgary Zoo is seeking a fixed-term HR System Support Specialist who will play a key role in supporting the People Services team in the transition to a new Human Resources Information System (HRIS). This position will provide hands-on support throughout the implementation, with a focus on coordinating training, troubleshooting system issues, and ensuring HR documentation is accurately uploaded and branded. The specialist will work closely with HR, IT, and external vendors to coordinate the implementation process, ensure data accuracy, support end-user training, and streamline system integration with existing HR processes. In addition to system-related tasks, the role will help manage workload across the People Services team and contribute to change management efforts to ensure a smooth and successful rollout of the new system.

What you will do:
General Implementation Support
Provide overall support for the HRIS implementation, contributing to planning, execution, and continuous improvement efforts across all phases of the project.
Training, Communication & Change Management
Coordinate HRIS training sessions and distribute user resources.
Serve as the primary contact for training questions, follow-ups, and user feedback.
Assist in executing change management strategies to promote user adoption and gather feedback to address challenges.
System Support, Testing & Troubleshooting
Provide first-line troubleshooting for user accounts, permissions, and access issues.
Support data validation and participate in user acceptance testing to ensure system accuracy and readiness.
Collaborate with IT and HRIS vendors on escalated technical issues and system improvements.
Document & Policy Management
Review HR policies for accuracy, compliance, and clarity prior to upload.
Document processes, user guides, and training materials.
Coordinate document uploads ensuring proper formatting, branding, and version control.
Project Coordination & Cross-Functional Collaboration
Work closely with internal departments and the HRIS provider to meet deadlines and ensure system integration.
Take initiative to lead assigned tasks through completion and support ongoing change management efforts.
Reporting, People Services Support
Assist in generating and distributing HRIS reports to support decision-making and identify reporting needs.
Provide responsive, professional support to employees and volunteers, assisting with additional People Services activities as needed.
Other related duties as assigned.
What you will bring:
Minimum 3 years of HR experience with strong knowledge of HR best practices, policies, and compliance.
A Bachelor’s degree in Human Resources is preferred
Prior experience supporting HRIS implementation projects, including training, testing, and troubleshooting.
Proficiency with MS Office Suite and comfort with technology.
Demonstrated “people first” mindset with excellent communication and organizational skills.
High attention to detail, accuracy, and a solutions-focused approach.
Ability to adapt priorities based on project needs and take initiative to lead tasks to completion.
Familiarity with change management practices to proactively support and promote change initiatives

Periods of stress due to time sensitive deadlines with conflicting priorities
