The Alma Mater Society (AMS) is the oldest student association in Canada and has been a central student organization at Queen's since its founding in 1858. Today, the AMS acts as a service, advocacy, and governing body on behalf of all students enrolled in AMS-affiliated programs at Queen's University.
The AMS is a not-for-profit entity created by the Society to ensure its continuing financial viability by overseeing the management of its services and associated financial affairs. It is bound by the By-laws and corporate philosophy of our Mission and Operating statements as set out in the AMS Constitution.
In addition to providing wage-based service staff positions for students wanting employment, the AMS seeks to support the Society's broader objectives through the provisioning of a high quality, relevant range of student funded services, that provide a wide range of employment opportunities and meaningful out-of-classroom learning and skill acquisition experiences for students.
JOB SUMMARY
The Governance Officer works with the Secretary of Internal Affairs to oversee and support affairs related to the AMS Assembly and related committees. The Chief Governance Officer, in tandem with the Secretary and Speaker, is responsible for ensuring that members comply with the rules of order. The CGO is additionally responsible for creating and releasing the agenda package, meeting minutes and other communication to members of assembly under direct supervision.

JOB DUTIES
Attend all Assembly meetings and take minutes and attendance.
Collaborate with the Secretary and the Assembly Speaker to produce and publish the minutes within 10 business days following each meeting
Support the SIA with the release of the agenda packages and preparation of slide deck before assembly
Debrief the assembly speaker and create speaking notes before assembly
Provide administrative support for the Judicial Committee in scheduling hearing, and ensuring all members have access to relevant files
Enforce the Awards Policy, and Appointments Policy as approved by the AMS Assembly.
Preserve the institutional memory of the office. The Chief Governance Officer will be mainly responsible for researching through any office archives and creating internal case studies to improve processes.
Support assembly committees by scheduling meetings and act as a scribe where requested. The CGO acts as a non-voting observer of all award committees.
Manage the Governance website pages and creating content for updating them as necessary
Work with the Secretary of Internal Affairs for communication needs throughout the Internal Affairs Office
Advertise governance operations (e.g., Assembly) on various social media
Monitor the AMS Governance social media and answer questions directed to the Office in addition being active on the account and interacting with the student body and other aspects of the AMS and Queen’s University
