Post End Date: August 27, 2025 at 11:59 PM This job advertisement is to fill an existing vacancy in the Administrative Professional (Employee Group) About the Role: Reporting to the Director, International Student Recruitment, the Operations Coordinator supports the day-to-day operations of the International Student Recruitment team, including the Management Team, International Student Recruitment Officers, and In-Country representatives. The incumbent ensures smooth administrative processes, supports communications, assists with event logistics, and administers contract management workflows. The Operations Coordinator will: Assist with the preparation, tracking, and filing of contracts and agreements; Maintain a centralized contract database and ensure all documentation is up to date and accessible; Support data entry and reporting tasks related to recruitment activities and operational processes and integrate new student lead data into the recruitment database in coordination with market-specific recruitment staff; Support the end-to-end coordination of agent and vendor contracts, including, reviewing, vetting, tracking, and filing agreements; Liaise with internal partners to ensure contracts meet institutional standards and timelines; Draft and distribute internal communications such as team updates, announcements, and newsletters; Collaborate with and coordinate efforts through central marketing and the domestic recruitment team to develop recruitment content including brochures, viewbooks, one-pagers, and presentations; Provide logistical and on-site support for recruitment events, webinars, and campus visits, including planning, venue booking, material and gift preparation, and coordination of catering, tech, and registration; Provide calendar and scheduling support to team members as needed; Respond to internal and external inquiries in a timely and professional manner; Respond to inquiries from the international student recruitment inbox and manage the recruiter booking system (Coffee with a Recruiter booking system); Contribute to continuous improvement of administrative processes and team efficiency, including effectively (re)organizing the Microsoft SharePoint site; Assist with processing invoices, purchase orders, and expense claims; and shipments of materials for school visits, fairs, and other key events in collaboration with Brock International Senior Financial Analyst. Please note: This position will be required to work on campus five days a week. Key Skills and Experience: Diploma or degree in business administration, communications or a related discipline. The equivalent combination of education and experience would be considered; Experience in an administrative or operations support role; Familiarity with contract management processes and event planning; Strong computer skills, including proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), as well as word processing, spreadsheets, databases, and basic design tools (e.g., Canva, Adobe InDesign, or similar); Promotes and embodies inclusivity and respect within the workplace and the broader community; Strong organizational and time management skills; Excellent written and verbal communication abilities; Ability to work independently and collaboratively in a fast-paced environment.
