The Office of the Faculty Registrar works closely with departments and colleges at the University of Toronto, concerning virtually all matters relating to Arts andScience students. Our department members are dedicated to aid all students to the greatest extent, to make their university experience as smooth and seamless as possible. We coordinate personal, financial, academic counselling, registration and enrolment, student records, transfer credit, petitions, final
examinations, and graduation.
Your opportunity:
The Program Manager, Strategic Priorities, provides leadership on various strategic priorities of the Office of the Faculty Registrar at the Faculty of Arts & Science. The work includes management of crossunit large-scale projects, process improvements, new business process implementation and process/system maintenance as well as change management within small, medium and large stakeholder groups. The role will lead current and future projects to build collaboration and efficiencies. A critical part of the role will be to work closely with various divisional and central University stakeholder groups to align divisional procedures with central University processes and systems. As an example, the Program Manager, Strategic Priorities will lead the onboarding of the Faculty of Arts & Science academic services from divisonal/in-house systems into the central University managed systems/platforms.
The Program Manager, Strategic Priorities reports directly to the Associate Faculty Registrar & Director, Operations & Project Management and will work closely with the Associate Faculty Registrar & Director, Registrar Services and as well as a wide range of stakeholder group within the Faculty of Arts & Science, the broader University community and external relevant stakeholders. The role will be independently responsible for planning and overseeing the implementation of a number of large-scale business process re-engineering for the Faculty of Arts & Science including exams and scheduling , enrolment and records related new business process and systems implementations, ensuring that the Faculty's technical needs and business operations are aligned with new sets of transformational requirements and the University's general guidelines, business and systems frameworks and requirements throughout the implementation.
Your responsibilities will include:
- Liaising with management to determine goals and priorities. Reviewing and assessing requirements needed to meet project timelines. Developing or modifying project schedules to expedite or compress the critical path to meet timelines.
- Building, strengthening, and fostering relationships with stakeholders and partners of strategic importance to support knowledge translation activities and to coordinate tasks for projects and other strategic initiatives with stakeholders. Developing component of program/project that supports collaboration and partnerships.
- Coordinating the project cycles by verifying that project approvals are received, reviewing and assessing requirements needed to meet project timelines, informing project leaders of issues and roadblocks, researching, analyzing and recommending solutions to project challenges.
- Analyzing processes and recommending changes for more efficient coordination of operations
- Directing or scheduling the workflow of project teams, consulting vendors, academic and administrative partners and ensuring that assigned work completed meets expected standards. Training staff on new business process and a new systems
- Monitors the finances of the project and project accounts.
Essential Qualifications:
- Bachelor's Degreeor acceptable combination of equivalent experience.
- Six to seven years of recent and related experience in managing a large-scale business process project related to Registrarial Services in an educational institution.
- Demonstrated experience in project design, phase planning, and implementation.
- Experience working with senior leadership to align initiatives with strategic priorities.
- Experience with knowledge management experience, including training materials, self-service materials, onboarding, and support documentation.
- Experience with project management/collaboration tools.
- Excellent requirements-gathering and documentation techniques (contextual inquiries, surveys, use cases, scenarios, user stories, etc.).
- Demonstrated experience in successfully working in a team environment, build relationships and collaborate with a variety of stakeholders, including senior management.
- Experience developing training and training staff on new business processes and systems.
- Experience in change management, process redesign, and business transformation initiatives
- Experience monitoring finance
- Strong interpersonal skills with a track record of building and maintaining strategic partnerships.
- Superior organizational skills in planning, project management and task coordination with a high level of attention to detail.
- Excellent presentation and interpersonal skills; collaboration skills and client management skills.

Pay Scale Group & Hiring Zone:
USW Pay Band 15 -- $97,348. with an annual step progression to a maximum of $124,491. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
