This is more than an administrative role you’ll be a key part of both the business leadership and the clinical experience, ensuring operational excellence and a patient-first culture.
About the Role
In this unique role, you will:
Lead Clinic Operations: Oversee scheduling, workflow optimization, and resource planning to ensure smooth day-to-day operations.
Drive Team Leadership: Manage, coach, and develop your team to foster accountability, collaboration, and engagement.
Shape Clinic Culture: Build a high-energy, patient-first culture that reflects our values and supports clinic growth.
Support Patients as Treatment Coordinator: Be the first point of contact for new patients, guiding them through consultations, treatment planning, and financial discussions with professionalism and empathy.
What You’ll Lead and Own
Clinic Operations & Leadership
Manage daily business operations, clinic efficiency, and overall team performance.
Align clinic goals with organizational targets, driving growth and patient satisfaction.
Champion compliance, safety, and process excellence.
Support and motivate your team to deliver operational and service excellence.
Treatment Coordination & Patient Experience
Welcome new patients with a warm, enthusiastic approach.
Facilitate radiographs, photos, and health history reviews for consultations.
Record relevant dental/medical history, patient goals, and chief concerns.
Summarize patient information for the Orthodontist and assist with examinations and data collection.
Present treatment plans, appliances, and next steps clearly and confidently.
Review financial options, insurance breakdowns, and consent forms with patients/families.
Schedule follow-up, start, and records appointments.
Communicate with referring dentists and specialists, generating correspondence as required.
Support recall management, pending calls, and confirmation calls.
Actively promote office marketing initiatives and referral opportunities.
Maintain accurate records, monthly analytics, and serve as the key liaison between the doctor, patient, and external providers.
What You Bring
3+ years of experience as the primary leader responsible for operations and team performance in healthcare, retail, hospitality, or service-based industries.
A proven track record of leading entire teams, managing daily business operations, and driving results.
Strong people management, coaching, and conflict-resolution skills.
Hands-on experience in patient care, customer service, or treatment coordination is an asset.
Strong organizational skills, with the ability to adapt and prioritize in a fast-paced environment.
Excellent communication and presentation skills with patients, families, and teams.
Post-secondary education in Business, Healthcare Administration, or a related field is an asset.
Bilingualism is considered an asset.
