The opportunity
You’ll join our in-house Creative Studio team in EY Canada’s Enterprise Support Services (“ESS”), helping support the important business enablement functions that keep our organization running strong. You will work across teams to provide the knowledge, resources and tools that help EY deliver exceptional quality service to our clients, win in the marketplace and support EY’s growth and profitability.
In your role as a Creative Project and Resource Manager (“CPRM”), you will coordinate and manage EY Canada’s in-house Creative Studio project and resourcing requirements in a way that promotes quality outcomes while optimizing the efficient deployment and utilization of creative resources.
The CPRM resides within Creative Studio and ESS and supports the group’s leadership, design and video team across their respective projects/assignments. They team with the Creative Director, Studio Lead, Design Director, and Intake Coordinators to seamlessly handle assignments.
You will collaborate within Creative Studio’s Operations and Resourcing to support project coordination efforts — managing timelines, tracking progress, facilitating communication between stakeholders, and ensuring creative deliverables remain on schedule and aligned with project goals.
You will also coordinate and manage the resource planning, allocation, and high-level scheduling across our Creative department, including designers, production artists, video producers and freelancers in locations across Canada, India and Philippines.
We are looking for candidates who are highly motivated, analytical, logical thinkers, have a very strong attention to detail. Being a strong team player is critical with the ability to adapt to changing requirements and be able to deliver on tight deadlines in support of our clients’ goals.
Your key responsibilities
Project coordination
Receives and reviews new assignment request and briefs to understand creative needs (scope of assignment, timing, and priority)
Developing project schedules and milestones; monitor deadlines and deliverables
Coordinate consults and/or briefings, manages timelines and feedback loops throughout creative development and project flow
Tracks progress of projects and keep all parties informed of any timing, scope or priority changes
Anticipates and mediates work-flow problems. Identifies and mitigates timeline risks early, proactively escalating blockers or delays
Maintain accurate project documentation from briefing to completion
Resource coordination
Assess available creative resources (skills, work-style, and workload) against creative needs. Working to prepare staffing solutions based on matching the right people (and number of teams) with the right projects.
Analyzing project requests and briefs for resourcing and prioritization of assignments
Monitoring workloads and utilization, helping to balance projects across the team
Keep resourcing data updated for reporting and forecasting
Operational support and further details of role and responsibilities:
Supports Creative Studio leadership to improve workflows and processes
Continually monitors the group for efficiencies and overload and reports concerns and opportunities to the Creative Director and Studio Lead
Support use of project and resource management tools (Adobe Workfront)
Promote a culture of organization, collaboration and continuous improvement
Quickly sorts information to identify opportunities, alternative approaches or next steps
Anticipate trends within the group and creates innovative solutions
Understanding of talent and optimization of creative resources for the development of great creative
Efficient management of workflow through the creative department
Works to share the appropriate level of communication with creative teams, understanding what might be best suited to share in the hallway, via email, or scheduled meetings
Flexibility to work additional hours as necessary to meet project deadlines and business needs.
What we look for
Clear and professional communication skills for working with stakeholders and creative teams
Analytical and problem-solving abilities, showing an ability to develop solutions for challenging circumstances that balances the needs of the practice and Creative Studio, with a focus on optimizing resource utilization and workflow efficiency
Project planning and coordination skills with an ability to manage shifting priorities and overlapping deadlines
Experience in creative resource management, with an understanding of the creative process and project lifecycle
Experience with project and resource management apps, ideally Adobe WorkFront
Capable of leading status meetings, tracking deliverables, and ensuring stakeholders remain aligned
Ability to think strategically and align project and resource management practices with organizational goals
Experience with brand development and creative development
Ability to work autonomously and work with leadership teams to shape project management
Maintains open-mindedness to ideas and welcomes feedback on how to change or improve processes
Detail-oriented with strong organizational and multitasking ability
Committed to contributing to a strong team culture to ensure success
A genuine love for the creative process
5 years of experience in Resource and/or Project Management or related field
Experience in evaluating resourcing needs
Ideally, you’ll also have
Project coordination or management experience, with certifications (e.g. PMP, CAPM, Agile/Scrum) considered an asset
Experience with Adobe WorkFront
Experience working in a creative studio
