General Accountability Responsible for delivering senior-management-level personal assistance as a working partner for the Vice President, Legal (SGI CANADA). Provides administrative and business support services for the Legal division and supports the Vice President, Legal in managing the affairs of the SGI CANADA Legal department. Key Accountabilities Note: This section is not intended to be an exhaustive list of duties and responsibilities – other duties and responsibilities may be assigned. Administrative Support Contributes to optimizing the Vice President, Legal – SGI CANADA’s personal and professional effectiveness by anticipating, prioritizing and alleviating the administrative details and basic managerial demands on the Vice President, Legal. Engages with the Vice President, Legal – SGI CANADA to share information for understanding, clarify priorities and plan work activities in a partnership-orientation work model. Manages the Vice President, Legal - SGI CANADA’s time commitments by delivering complex calendar management control— strategically plans and schedules the Vice President, Legal - SGI CANADA’s time, manages priorities and anticipates and resolves conflicts. Assists in managing the Vice President, Legal - SGI CANADA’s e-filing system; reads emails for comprehension, synthesizes information, composes and delivers responses on behalf of the Vice President, Legal - SGI CANADA and follows up on delegated items. Develops and maintains relationships with all project/initiative stakeholders important to the Vice President, Legal - SGI CANADA using appropriate discretion, confidentiality and respect for protocols. Acts as a liaison in the absence of the Vice President, Legal - SGI CANADA to direct matters requiring Legal division attention. Participates in special projects as assigned by the Vice President, Legal - SGI CANADA. Divisional Performance Responds to internal and external parties in person, over the phone, through written correspondence and electronic means to clarify and understand needs, respond to and identify, resolve or escalate inquiries and issues, as appropriate. Fosters effective, mutually beneficial working relationships and partnerships with all levels of the organization and with internal and external contacts. Maintains a continuous improvement mindset and develops recommendations for optimization of processes, practices and work methods. Provides support and expertise regarding administrative matters. Corporate and Division Affairs Collaborates with stakeholders, internally and externally, to expedite Legal division responses to any manner of recommendations, decisions, reviews and approval requests and requirements. Supports the Vice President, Legal - SGI CANADA in drafting, editing and updating Board of Directors items as required. Supports the Vice President, Legal - SGI CANADA in drafting, editing and updating of legislative and regulatory documentation required for execution of business area initiatives and strategic plans. Assists with maintenance of corporate records, materials and filings for the Legal division. People Leadership Actively contributes to and supports a culture of a high performing workforce. Ensures that the Health, Safety and Emergency Management Policy is applied in area of responsibility. Education & Experience A two-year diploma from and accredited post-secondary education institution in a relevant field of study such as Office Administration – Legal, Business or Social Sciences. 2 – 4 years of experience as a legal administrative assistant or law clerk. Knowledge, Skills & Abilities Knowledge of litigation procedures and processes, including the Rules of Civil Procedure. Knowledge of the functions and jurisdictions of local, provincial and federal courts and agencies. Knowledge of the terminology, principles and procedures of Canadian insurance law. Knowledge of office administration practices and procedures. Knowledge of spreadsheet, database and word processing computer software.
