The Role
Reporting to the Associate Director, HR Technologies & Analytics, this role plays a pivotal role in optimizing and enhancing the functionality of our Human Resources Information Systems (HRIS) such as UKG, Cornerstone and Achievers. The primary responsibility will be to bridge HR processes and technology solutions, ensuring seamless integration and optimized efficiency.
The HR Business Analyst will provide expertise in business analysis, requirements gathering, facilitation, troubleshooting, and the development of test scripts by leveraging information, market research and HR systems, to generate meaningful insights to assist the business in making accurate and informed decisions, along with process improvements.
This role will also work closely with the HR team and various internal and external stakeholders to support the build, deployment and enhancement of various HR technologies.
System Partner
Works with Associate Director, HR Technology & Analytics and various stakeholders (e.g. HR and IT) to identify gaps/opportunities and recommend optimal solutions for adoption of new releases prior to implementation.
Oversees the integrity, maintenance, governance, and security of HR Data within the HRIS systems. Implements data validation checks and audits to maintain data quality standards.
Maintains and enhances system functionality across all HR systems, while partnering with internal stakeholders and vendors to troubleshoot and resolve any issues.
Evaluates the status quo and identifies opportunities for automation and process optimization while valuing the employee experience.
Systems Leadership: Serve as the strategic HR systems subject matter expert and primary liaison with system providers. Lead the evaluation, enhancement, and optimization of HR technologies to ensure they remain aligned with business needs and future ready. Oversee system development initiatives, manage new releases, and drive continuous improvement opportunities, while partnering with HR and business leaders to advance system capability, user adoption, and data-driven decision-making.
Workflow: Designs and documents workflow processes to enhance the efficiency of HR Information Systems operations, collaborating with Information Technology staff to implement and optimize these processes.
Reconciles vendor invoices and liaise with IT Purchasing on processing for payment.
Supports the team on various HR initiatives as required.
Technology Partner
Partner with the Associate Director, HR Technology & Analytics on HR technology initiatives, including system enhancements, patches, releases, etc. and the administration of current platforms (e.g., Cornerstone on Demand, UKG, Achievers etc.), as well as the sourcing and implementation of new technologies.
Partners across HR and business leaders to meet evolving business requirements and leads system enhancement opportunities, gathers requirements, designs, configure, and tests system solutions to improve the employee experience.
Acts as the main point of contact with key vendors managing scheduled employee data feeds and addressing status-related inquiries.
Reporting & Analytics
Develops and maintains simple to complex reports utilizing the HCM and additional data sources to deliver clear, insightful reports and dashboards.
Utilize data mining techniques and queries to gather business intelligence. Leverage a variety of tools to support the delivery of management metrics that will enable business strategy and support desired organizational performance.
Oversees the identification of opportunities for streamlining HR processes through strategic technology solutions. Develops strategies to automate manual processes and reports and improve overall efficiency.
Implements measures to ensure compliance with data protection laws and regulations.
Researches and analyzes external benchmark data including the gathering and interpretation of technology trends for internal usage.
Offers critical insight to emerging workforce trends through ongoing review and interpretation of labour statistics and competitive markets.
Supports the MCAP workforce planning (budget) process as required.
Supports the MCAP Annual Compensation Review process as required.
HR Service Delivery Support
Collaborates with HR Service Delivery teams to understand their requirements for system functionality and reporting needs.
Data Access and Security Management: manages access to Human Resources data by establishing access criteria and security policies and procedures, authorizing access in accordance with criteria and maintaining records of access authorizations and non-disclosure agreements.
Provides support in troubleshooting system issues related to HR service delivery and implement solutions to enhance user experience.
Coordinates with HR team to analyze HR service delivery metrics and trends and identifies areas for improvement and optimization. Provides support to end users in troubleshooting and/or resolving system issues.
Provides training and support to HR users on system functionalities, best practices, and troubleshooting techniques. Serves as a subject matter expert for all HR systems.
What You Bring To The Team
2-3 years of experience as an HRIS Business Analyst or similar role, preferably in HR technology.
Experience with workforce analytics and reporting.
Experience with HR technologies (e.g., Cornerstone, UKG) required.
Ability to work in a fast-paced environment where you can contribute with your in-depth knowledge of HR and Talent Management systems.
Strong report writing capabilities using different HR technologies.
Strong MS office skills, particularly MS Excel (formulas, macros, pivot tables, charts)
Detail orientated with an emphasis on data integrity and data quality
Strong analytical skills with the ability to investigate, organize and analyze significant amounts of information. Intellectually curious and creative.
Knowledge of the principles, concepts, standards, methods and techniques of HR and business metrics and analytics with a focus on data interpretation
Strong written and verbal communication skills and experience applying best practice in creating executive summaries, dashboards, and written recommendations.
Excellent problem-solving skills, proficient working with vendors to resolve issues and achieve service level agreement expectations.
Exercises sound judgment, with an ability to maintain confidentiality and utilize discretion while working with sensitive information.
Strong organizational and time management skills, with an ability to multi-task, adapt to changing priorities and deliver effectively on ad hoc requests.
University or college degree in Human Resources, Information Systems, Business Administration, or related field, with business/finance background an asset
HR certification (CHRP/CHRL) or in progress an asset
