Summary:
The Estimating Administrator supports the Estimating team by coordinating tender submissions, managing documentation, and ensuring smooth project handovers. This role assists with bid preparation, budget summaries, and compliance documentation, while maintaining accurate project trackers and facilitating communication between estimating, contracts, and operations teams. The position ensures timely, accurate, and compliant tender submissions and contributes to efficient workflow across all preconstruction stages.
The Estimating Administrator will report directly to the Manager, Preconstruction Support.
Location: Clearway's Head Office – Maple, ON.
Hours of Operations: 8:00 am to 5:00 pm (EST)
Essential Duties & Responsibilities:
Prepare and distribute low-bid notices internally, ensuring accurate and timely communication of awarded project to relevant stakeholders.
Assist in compiling project budget summaries, tracking updates, and producing project reports for handover.
Collect, verify, and coordinate all supporting documentation, ensuring completeness and compliance with internal and client requirements.
Facilitate the transfer of project information from estimating to operations, including schedules, budgets, technical documents, and client requirements.
Coordinate estimating close out activities, ensuring all bid-related materials, clarifications, and client correspondence are properly archived.
Maintain and update project trackers, ensuring data accuracy, performance monitoring and forecasting.
Coordinate bond and insurance requirements at both tender and preconstruction stages, ensuring timely submission of accurate documentation to clients and stakeholders.
Act as point of contact between estimating, contracts, and operations teams to resolve documentation issues and maintain workflow efficiency.
Ensure timely submission of bids in compliance with tender requirements.
Assist estimators with tender preparation and submission.
Occasionally assist with managing general email inbox.
Requirements:
2-3 years of experience in construction industry is an asset
Strong organizational and time management skills with the ability to handle multiple deadlines
Excellent attention to detail and document control
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) experience with estimating is an asset
Strong written and verbal communication skills
Ability to collaborate effectively across multiple departments and teams
High level of professionalism, discretion and accuracy in handling project and client information
Be self-motivated and driven
Must be legally eligible to work in Canada – no work permit sponsorship is available for this position
