Pay Range Commensurate with experience VHA’s Talent Acquisition Assistant and Onboarding Coordinator is a key role that provides support to the Talent Acquisition team for their respective line of business. This role is pivotal in providing support with VHA’s recruitment efforts from posting job ads, reviewing resumes, and scheduling interviews to ensuring seamlessness onboarding experience for new hires including preparing orientation materials, paperwork, and all the logistics around orientation. They will also provide daily administrative support to the Talent Acquisition and Onboarding team and general support to the overall HR department. Recruitment Support Posts Job advertisements on VHA website and external job boards. Reviews applications and resumes through Applicant Tracking System (ATS). Conducts phone screens and book interviews for the Talent Acquisition Team and hiring managers accordingly. Supports recruitment team and hiring managers by creating offer letters and contracts when needed. Recruits for junior positions when required. Process requests for reference checks, police checks and education verification from third-party vendors when needed. Assists with collecting and requesting documents for VSS/Police Check for the Talent Acquisition Team. Manages renewal of police check/VSS requirements and updating data on HRIS. Attends, supports, and/or organizes Open Houses, Hiring Events, Info Sessions, and Job Fairs. Orientation and Onboarding Supports the onboarding process for new hires, including preparing paperwork, coordinating orientation sessions, and scheduling training sessions. Supports, coordinates, and presents to new hires and service provider orientations with the support of other Talent Acquisition Assistant or the HR Supervisor of Talent Acquisition and Onboarding when needed. Enrolls new hire employees and service providers in the onboarding module in the HRIS and provided all links and access needed during onboarding. Conducts and provides support completing hiring/onboarding meetings. Organizes and prepares handouts, PPE Kits, and items needed for new hire/contractor Orientation program. Conducts mask fits and provides additional training to all new hires. Creates Photo ID Badges for new and existing employees/contractors. Ensures that all data entry for new hires is complete and accurate in Goldcare and HRIS. Ensures that all new hires and service providers successfully completed all their onboarding and learning in the HRIS. Administrative Support Filing includes maintaining confidential records for office staff, pulling personnel files when requested. Maintains records and statistics for human resources activities and projects. Coordinate information and gather statistics to assist with human resources planning. Prepare letters including but limited to the following: Letters of Employment of existing employees, Hours Worked Letters Releases employment verifications for staff members Answers incoming employees or external contact inquiries Retrieve mail and distribute to members of the HR team HR Equipment and Supplies Maintain inventory and collaborate with the HR Help Desk Administrator and the Talent Acquisition Specialist for VHA promotional items for recruitment purposes such as new hire orientation, job fairs, open houses and info sessions.
