Position Summary
Our client, Connect Counselling & Therapy Society is a nonprofit organization that has been providing trauma-informed counselling and support services in the Central Okanagan for nearly 40 years. With funding from Interior Health and provincial ministries, Connect delivers accessible programs that foster mental health and well-being for individuals, couples, and families. They are seeking a professional and compassionate Financial Assistant to join their team in Kelowna, BC. Reporting to the Manager of Finance, this role will support the accounting function in addition to managing the accounts receivable. This position requires a highly organized individual with excellent communication skills and a strong understanding of client confidentiality in a counselling setting. Flexibility, attention to detail, and the ability to work well in a team is required for this role. You’ll support both the counselling and leadership teams and help uphold a warm, client-centered culture. Additionally, we are in an exciting growth period so the ability to support change and adapt is critical!
Key Responsibilities
· Process and post all payments, refunds, invoices;
· Prepare and post invoices and submit to various agencies for payment;
· Create and update quarterly and annual statistics spreadsheets;
· GST tracking and reconciliation;
· Create and run reports in Jane;
· Troubleshoot any Jane issues or questions;
· Update and create new counsellor appointment sessions in Jane;
· Create and manage insurance policies in Jane and review for accuracy;
· Communicate with clients regarding payment inquiries and receipts and provide credit card link if necessary;
· Manage deposits and deferred revenue tracking and reconciliation;
· Manage and post donations and create charitable donation receipts;
· Provide back-up for Financial Coordinator;
· Work closely with other team members to support clinic operations;
· Ensure strict confidentiality of client information, in line with privacy laws and agency policies.
Requirements
Qualifications & Experience
· High school diploma or equivalent experience required;
· Post-secondary education in finance or a related field is an asset;
· Experience with a bookkeeping system such as Sage or Quickbooks preferred;
· Minimum 3 years of experience in a financial assistant role, preferably in a counseling, healthcare, or nonprofit setting;
· Experience with Jane.app an asset;
· Strong computer and Excel skills;
· Excellent communication, organizational, and time-management skills;
· Aptitude to support change and growth;
· Ability to work with discretion and maintain confidentiality;
· Calm, grounded presence in an occasionally fast-paced and emotionally sensitive environment.
Please note: Due to the nature of the role, candidates will be required to complete a Criminal Record Check under the BC Criminal Records Review Act, including screening for work with vulnerable populations.
Benefits
This part-time role is anticipated to be approximately 18 hours per week, with some flexibility occasionally required. The position offers a competitive hourly wage of $23–$25, along with a comprehensive benefits package available after a 3-month probationary period.
