Marshall Canada is currently seeking a Site Administrator to join our team in Moncton. Reporting to the Operations Manager, this role will provide administrative support to the leadership and production teams located at our manufacturing facility. Your responsibilities in the role: Support HR with the timekeeping process including auditing for and correcting missing or erroneous data, flagging trends overtime logs and leave requests as required. Perform manual processes associated with creating/updating profiles within IFS. Manage building access through gate, door management, production, distribution and tracking of access cards (staff ID’s and visitor badges). Administration and organization of meetings and visits internally and externally – conference room bookings, arrange hospitality and set up refreshments for internal meetings as and when required. Order stationery, coffee and other office supplies. Monitor purchases made by the facility. Liaise with custodial services agencies. Manage uniform program. Maintain Marshall office inventory and asset logs. Support ISO9001 training needs identification and documentation requirements. Participate in the development of systems and training plans. Participate in ISO9001 audits. Upload documents to SharePoint. Coordinate Continuous Improvement meetings and log. Create purchase requests and purchase orders. Liaise with service providers for maintenance and work order requests, maintain service provider stakeholder logs. Support facility maintenance and contactor/vendor coordination. Coordinate events with the Social Committee. Perform the duties associated with the Alternative Company Security Officer, monitoring security clearances. Provide support to the Operation Manager including expense claims. Other duties as assigned. Apply if you have most of the following: Proven track record in administration. Strong organizational, time management and multi-tasking skills and able to work under pressure. Self-motivated and proactive individual with an excellent level of attention to detail. Excellent interpersonal and communication skills with ability to interact effectively with other members of staff and external contacts. IT skills to preferably include - Outlook, Word, Excel and PowerPoint and confidence in using internet-based applications. ERP knowledge is beneficial. Ability to take initiative and speak to various stakeholders. Demonstrated ability to maintain confidentiality. Must be eligible to meet the requirements of export control regulations, including the Canadian Controlled Goods Program and Canadian government security requirements.
