Your opportunity:
Under the general supervision of the Director, Professional and International Programs, the incumbent responds to a broad range of inquiries from students, staff and the general public at the front counter, via email, and on the phone.
The incumbent supports the administration of the Summer Abroad Program and the Teaching in Higher Education (THE500) course. The incumbent facilitates the application cycles for these students, ensures completeness of applications, prepares applications for admission review by the program coordinators, maintains accurate databases, generates statistical reports based on registration, and assists in the registration of Summer Abroad students. The incumbent updates content for the Summer Abroad websites and the program brochures and effectively disseminates this information to instructors, potential applicants, and registered students. The incumbent provides general informationabout all programs offered through the Professional and International programs office, including application and registration details, and delivers a high level of customer service to all program enquiries submitted by phone, mail, email and in-person. The incumbent provides administrative support to facilitate operational processes including set up/logistics at program events and fairs, preparing paperwork for processing payments on HRIS and FIS, scheduling meetings, preparing documents and processing letter requests.
Your responsibilities will include:
- Responding to enquiries within the defined scope of the role and redirecting as appropriate
- Providing detailed information on registration procedures
- Keeping well-informed on University programs, policies and procedures
- Troubleshooting and resolving routine issues
- Providing basic support and general referrals to individuals in distress
- Coordinating meeting schedules, agendas, materials, action and follow-up items
- Disseminating program materials to prospective students and applicants
- Providing routine information on programs and events
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum two (2) years of recent and related experience administrating international education experience and language programs in a post-secondary educational institution, preferably in a university setting.
- Experience providing excellent student service and information regarding programs and courses to students and prospective students
- Experience working with ROSI and databases
- Experience in providing basic support and general referrals to students in distress.
- Experience reviewing documents/applications and checking for completeness.
- Experience planning information and orientation sessions for large groups.
- Experience working with high volumes and tight deadlines while maintaining a high level of accuracy and attention to detail.
- Experience with program promotions.

- Demonstrated advanced skills and proficiency with ROSI.

USW Pay Band 09 -- $67,916. with an annual step progression to a maximum of $86,855. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
