Your opportunity:
Reporting to the Manager, Web and Digital Technology, the Product Analyst is responsible for supporting project management, document management and collaboration tools such as Microsoft Teams, SharePoint Online, Power Automate, UniHub and other Symplicity products. The incumbent will assess client requests and use prevailing methodologies to define, design, implement, test, and support technology systems with quality, compliance, and risk reduction mindset. The role provides day to day support and leads continuous process improvement initiatives to improve results, manage releases, measures success, maps and executes the product lifecycle with a service/product owner mindset.
This role will work collaboratively with the tri-campus resource teams supporting these enterprise level tools, acting as the UTSC technical representative and advocating for campus clients. The incumbent is also responsible for providing training for new and modified systems to end-users and technical staff and coordinating the release of information related to new and modified products.
Your responsibilities will include:
- Developing and revising business methods that support administrative workflow and objectives
- Researching, analyzing and recommending potential changes to system features
- Testing business applications to ensure reliability
- Liaising with technical specialists to resolve end-user issues
- Conducting needs assessments to determine end-user technical requirements
- Evaluating new technologies to determine if they support objectives
- Analyzing existing service and process procedures and recommending changes
- Drafting and editing training content & training staff on new system features
Essential Qualifications:
- Bachelor’s degree in Business, Information Science, Computer Science, or an approved and equivalent combination of education and experience
- Minimum of 5 years of hands-on experience configuring third-party enterprise software (e.g., workflow engines, form builders, case management tools)
- Experience working with central IT teams for Tier 2/3 support for enterprise systems
- Strong understanding of project management and change management best practices
- Understanding of APIs, data flows and how tools integrate with Student Information Systems (e.g., Acorn/ROSI) or similar
- Ability to interpret and analyze data related to user activity or system usage to improve client support and adoption
- Knowledge of data protection principles and information security policies
- Strong understanding of document and record management concepts such as information architecture, metadata, taxonomies and retention policies
- Advanced proficiency with MS Office 365 products, including MS Teams, SharePoint, Forms
- Knowledge of PHIPA, HIPAA, AODA guidelines
- Comfort with modules, permissions, user roles, configuration settings
- Superior communication, interpersonal, and organizational skills
- Superior presentation skills with the ability to facilitate meetings, workshops, and training
- Strong time management skills with the ability to work well under pressure and meet competing priorities and deadlines
- Ability to analyze and synthesize information from multiple sources and provide recommendations
- Tactful, discrete, with the ability to maintain confidentiality and sound judgement
- Ability to deal with ambiguity and collaborate across multiple areas to achieve common business objectives

Assets (Nonessential):
- Experience with administration of Unihub and other Symplicity products or similar is an asset
- Experience with the support and administration of student engagement activities through a variety of tools is an asset
- Technical certifications related to business analysis, project management, and process improvement (e.g., PMI, CBAP, CCBA, ITIL) is an asset
- Experience with data analysis and data modeling, business process analysis, writing technical specifications and use cases, optimizing systems and processes, and implementing new systems is an asset
