Calgary Co-op is seeking a Payroll Administrator to become a member of our co-operative team. Reporting to the Payroll Supervisor, the successful candidate will be accountable for producing accurate and timely payroll information, complying with all government and collective agreement requirements, and communicating effectively with all related parties. This position requires high level of attention to detail to ensure the accuracy of payroll and adherence to strict deadlines at certain times in the payroll cycle.
Responsibilities:
Process and maintain accurate payroll information, including timecards, new hires, terminations, pay changes, retroactive adjustments, and direct deposits.
Execute payroll runs within established schedules, ensuring compliance with all statutory and organizational requirements.
Reconcile payroll transactions, general ledger accounts, and year-to-date totals, investigating and resolving discrepancies promptly.
Develop and maintain spreadsheets, perform data imports/exports, and ensure accuracy of payroll and accounting system information.
Prepare and post journal entries for payroll-related transactions, including currency and statistical adjustments.
Process employee terminations, including final pay, Records of Employment, and benefits cancellations.
Prepare cheque requests as needed.
Maintain accurate records of employee benefits, pension plan enrollments, additions, deletions, and adjustments.
Respond to payroll-related inquiries from employees, managers, and external agencies in a timely and accurate manner.
Assist with preparing, issuing, and tracking T4 slips and replacements, ensuring accuracy and compliance.
Distribute payroll reports and registers, maintaining confidentiality of sensitive information.
Collaborate with required internal stakeholders to support payroll system updates, testing, and process improvements.
Identify opportunities to improve payroll processes, workflows, and reporting accuracy.
Participate in the development and action of yearly competency performance work plan(s) and development action plan(s).
Provide leadership in the areas of Health, Safety and Environment (HSE), including participate in HSE activities, ensuring employees are knowledgeable about and comply with HSE policies, procedures and legislation, assist in identifying unhealthy, unsafe situations and ensure corrective action is taken.
Qualification & Experience requirements:
Successful completion of Grade 12 and Payroll Compliance Practitioner (PCP) designation, or equivalent combination of education and experience.
Knowledge of payroll legislation in both Alberta and Saskatchewan, statutory deductions, and collective agreements.
Experience with Oracle Fusion Cloud Payroll and WorkForce Ready.
Minimum 1 year of computerized payroll experience.
Proficiency in Microsoft Excel and Word.
Strong communication, organizational skills, and ability to maintain confidentiality.
Strong analytical and problem-solving skills.
