We are currently looking for an Administrative Coordinator to join our team of committed professionals. This Full-Time position within the Association is housed at the YMCA of Northeastern Ontario’s Chippewa location in North Bay.
Under the leadership of the Managers of Child, Youth & Family Development (CYFD), the Administrative Coordinator provides administrative and clerical support to the CYFD Leadership Team.
START DATE: December 9, 2025
LOCATION: North Bay, ON
RATE OF PAY: $45,000 -$48,000 per year
HOURS: 40 hours per week
What You'll Be Doing
Greet families, guests, and direct them to the appropriate staff or services as required (in person and phone)
Assist in maintaining internal and external documents/correspondence to ensure compliance with the Ministry of Education, Public Health, Fire Department, Public Funders (DSSAB’s, etc.), and Partnering School Boards
Assist in maintaining records of CYFD management meetings minutes, agendas, correspondence and other official documents and distribute them as required
Assist with maintaining waitlists
Assist Supervisors with maintaining capacity by reviewing the needs of programs and scheduling tours
Assist Supervisors with completing registration if tours are successful
Assist Safeguarding Children Lead with Association related Safeguarding Children administrative updates
Work with the VP of CYFD to update and maintain all CYFD procedures, policies and supporting administrative tools
Collaborate with managers to organize all administrative onboarding of student placements and high school student volunteers
Assist, if required, with child care finances/registration during peak times
Order and/or ensure adequate stock of the inventory of supplies on a bi-weekly basis
Coordinate updates and order all marketing and promotional materials with the VP and Communications team
What You'll Bring to the Role
College diploma or University degree in Business, Administration or related field *for education completed outside of Canada, applicants are required to submit a WES with their application
Minimum of two (2) years of experience in administrative duties and client customer service relations
Current Standard First Aid and CPR C
Excellent verbal and written communication skills
Advanced computer skills
Excellent interpersonal skills
Excellent organizational and time management skills
Valid G class driver’s license and access to a vehicle is considered an asset
Bilingualism in both official languages an asset
Current and satisfactory Police Record with Vulnerable Sector Check
