ServiceMaster Restore of Edmonton is seeking an experienced Project Coordinator to support our Project Managers with high-level administrative and project coordination tasks, ensuring each insurance claim is completed accurately and on time.
Responsibilities:
Completing estimate entries for time and material projects.
Reconciling project job costs, daily reports, materials, invoices, estimates and completing billing packages for review and approval by the project manager(s) with final submittal made to the billings department.
Compiling back-up documentation, submitting estimates and invoices to insurers and clients.
Scheduling calendar follow-ups pertaining to outstanding invoices and aiding the project manager(s) and accounts receivable department in collections as required.
Collecting reports, estimates and invoices from sub-trades and vendors.
Collecting work authorizations and completion certificates from insureds and clients.
Scheduling appointments for project managers, crews and sub-trades.
High volumes of data entry to update and manage internal and external databases inclusive of Encircle, Xactimate, Xactanalysis, Acumatica, Dockusketch and excel.
Work with the project manager(s) and compliance coordinator to ensure compliance metrics and updates are met daily.
Working closely with management and project managers(s) to update work in progress reports and project budget reports on a weekly basis.
Other duties as assigned.
Qualifications:
3 - 5 years’ work experience in an intermediate to senior administrative support capacity.
Diploma or certificate in Business Administration, Project Management or a related field.
Clear understanding of construction terminology will be considered an asset
Proficient with Microsoft Office Suite (Word, Outlook and Excel). Certification in Advanced Excel will be considered an asset.
A solid understanding of the accounting billing cycle
Experience with restoration software such as Encircle, Xactimate, or similar platforms is preferred.
Experience coordinating emergency response projects such as fire, water, mold, or contents restoration.
Team-oriented mindset with the ability to support project managers and field staff. Strong communication skills in verbal and written when interacting with homeowners, technicians, insurance companies, and subcontractors.
Ability to remain calm, professional and solution-focused in emergencies or high-pressure situations.
Ability to work in a fast-paced, changing environment with shifting priorities. Strong organizational skills with the ability to prioritize and manage multiple deadlines.
Strong document control abilities: estimates, purchase orders, job files, and work authorizations.
