Position Overview
We are seeking a proactive, relationship-focused Property and Community Relations Administrator to oversee the day-to-day operations of our residential properties while fostering a welcoming and engaging community environment for residents. This hybrid role blends administrative expertise with community management, ensuring smooth property operations, exceptional resident experiences, and strong communication across stakeholders. Applicants should be flexible and available to work some evenings and weekends as required.
Key Responsibilities
Administrative and Tenant Management
Manage tenant correspondence, work orders, service requests, and accounts payable invoice coding.
Review leases, prepare lease abstracts, and accurately input data into property management systems.
Coordinate tenant move-ins and move-outs, including collection of required documentation and the distribution of welcome packages.
Issue demand, default, and termination notices in compliance with the Residential Tenancy Act (RTA).
Market the community to prospective residents, conduct tours, and facilitate lease agreements.
Develop strong relationships across the organization to ensure smooth information flow.
Participate in and lead community events, special projects, and resident engagement initiatives.
Community Relations and Resident Experience
Promote a vibrant, inclusive, and service-oriented community environment.
Provide residents with information on amenities, local services, emergency procedures, and community guidelines.
Respond promptly and professionally to resident concerns, complaints, and rule violations.
Support community programming designed to enhance tenant satisfaction and retention.
Property Readiness and Maintenance Coordination
Conduct weekly inspections of the building, grounds, and vacant suites, as well as annual suite inspections.
Ensure suites are market-ready, clean, and well-maintained.
Coordinate maintenance, repairs, and contractor work to uphold property standards.
Maintain accurate distribution materials such as pricing, floor plans, and move-in incentives for potential tenants.
Financial Management and Reporting
Support rent collection, track arrears, and prepare accounts receivable reports and reconciliations.
Conduct monthly rent roll and PAD report reviews.
Assist with annual budget preparation and review RFPs and contracts.
Prepare monthly management/ownership reports, including variance explanations.
Collect check meter readings and process tenant chargebacks.
Assist in verifying CAM and tax information for year-end adjustments.
Compliance and Property Standards
Enforce property rules and regulations in accordance with the RTA and lease agreements.
Ensure accurate assignment of parking stalls and storage units.
Maintain compliance documentation and uphold safety and property standards.
Qualifications
3+ years of experience in residential property administration or management.
Strong understanding of lease audits, rent rolls, accounts receivable, and financial reporting.
Knowledge of the Residential Tenancy Act and property management best practices.
Proficiency in Microsoft Office (especially Excel); experience with Yardi Voyager or similar software is an asset.
Excellent interpersonal, customer service, and communication skills.
Ability to build positive relationships with tenants, vendors, contractors, and colleagues.
Strong organizational skills with attention to detail and the ability to manage shifting priorities.
