What the day will look like
Act as a key resource and provide comprehensive administrative support to leadership and team members.
Prepare, edit, and produce presentations, correspondence, and related materials, ensuring accuracy, clarity, and quality control.
Coordinate and manage complex meeting logistics on-site or off-site, including scheduling, agendas, travel arrangements, room reservations, catering, and materials.
Maintain and update files, databases, and shared platforms such as SharePoint.
Manage financial processes including invoice preparation, purchase order requisitions, expense reporting, and support for budgeting, forecasting, compliance, and client invoicing.
Assist in the development and improvement of administrative procedures and processes.
Provide leadership support by attending senior-level meetings to coordinate agendas, prepare materials, and summarize action items.
Handle special projects independently with budget awareness and collaborate with the Administration Operations Manager or business leaders as needed.
Work collaboratively with the team to cover absences and support peak workloads.
Perform all other related duties as required.

Skills and experience that will lead to success
Three (3) + years experience in a similar role;
French / English bilingualism is required due to the frequent interactions with clients, colleagues, or partners based in Quebec, other Canadian provinces and/or internationally.
Proficiency in MS Office software (Word, Excel and PowerPoint);
Punctuality and reliability;
Organizational skills, initiative, resourcefulness and attention to detail;
Flexibility and team spirit;
Demonstrated organizational skills;
Ability to work independently with a variety of people.
High school diploma or relevant experience; associate or bachelor’s degree a plus
