The MedStore, located on the University of Toronto's St. George Campus is dedicated to servicing the Toronto medical research community with expert knowledge and professional service. As the Projects & Planning Coordinator, you will support the efficient operation of a leading supplier in Toronto’s medical research community by coordinating purchasing activities, maintaining accurate data, streamlining administrative processes, and collaborating with vendors to enhance workflows. You will also play a key role in improving our e-commerce platform by assessing internal business needs, gathering and documenting requirements, coordinating project tasks, testing new features, and ensuring updates are successfully implemented to enhance customer experience and operational efficiency.
Your responsibilities will include:
- Coordinating tasks for projects and other strategic initiatives with stakeholders
- Recommending changes to administrative processes and procedures for purchasing, payment workflows, and systems
- Contributing to the building and maintenance of shared filing systems on SharePoint
- Maintaining accurate data in databases, systems and procurement platforms
- Collaborating with vendors to implement enhancements to MedStore’s systems and platforms
- Verifying the accuracy and completeness of billing and sales records
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum three years of experience with operations and procurement coordination, ideally in a warehouse environment
- Demonstrated experience with purchasing and procurement processes, including routine order placement, inventory analysis and management of virtual catalogues
- Experience with building and maintaining filing systems on SharePoint, including authorization management and content management
- Demonstrated experience maintaining accurate data in databases, systems, or procurement platforms
- Experience with implementing enhancements to systems and platforms in collaboration with third party vendors, including process coordination, testing, communication and implementation
- Experience supporting purchase orders, obtaining quotations, minor purchases, payroll, and invoices
- Experience with FIS/SAP, HRIS and Jaggar, or equivalent systems
- Effective skills with Microsoft Wordand Excel, PowerPoint, Outlook.
- Proficient with procurement and/or purchasing systems
- Excellent verbal and written communication skills.
- Effective organizational, time management, and problem-solving skills.
- Excellent attention to detail and accuracy of work.
- Ability to exercise initiative, professionalism, tact and sound judgement.

USW Pay Band 09 -- $67,916. with an annual step progression to a maximum of $86,855. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
