SUMMARY OF DUTIES
Reporting to the Project Manager, Elections Education & Supports, the Elections Officer (Election Support – Training) is responsible for implementing and delivering the Election training program to all Election poll workers.
GENERAL DUTIES
Responsible for implementing and delivering the election training program to over 1500 election workers and backups.
Assist in the development of role-specific training modules to be delivered both in-person and online.
Coordinate and deliver role-specific training modules both in-person and online.
Take necessary action to resolve last minute training issues prior to Advance Voting Days and on Election Day.
Assist in the development of training materials including manuals, FAQs, forms, and documents to assist in ensuring sensational service at the polls.
Responsible for ensuring that all election workers who have been hired to work the election, have sworn Oaths of an Election Official confirming powers delegated to them by the City Clerk for the purposes of the election.
Responsible to schedule election workers into appropriate training sessions, monitor and verify completion.
Receive and respond to election-related inquiries from Members of Council, candidates, Election workers and the general public.
Assist with the registration of voters, third-party advertisers, and nomination of candidates.
Perform revisions to Preliminary List of Electors; revise, maintain, finalize, produce, and distribute the voters’ list.
Assist in the acceptance of financial submissions from candidates and third-party advertisers.
Following election, dismantles and stores supply boxes, election equipment, and provides Coordinator with an Election Assessment (list of problem areas, successes, and recommended actions, etc.) for next Municipal Election.
Must be flexible in work schedules and available to work overtime as required to meet election operational needs.
Work in accordance with the provisions of applicable Health and Safety legislation and all City of Hamilton corporate and departmental policies and procedures related to Occupational Health and Safety.
Perform other duties as assigned which are directly related to the major responsibilities of the job.
QUALIFICATIONS
Demonstrated knowledge and working experience in a business environment including training and coordinating large numbers of employees/events. These skills are obtained through a combination of relevant education and experience.
General business diploma/degree is an asset.
Ability to exercise judgement, initiative and capable of working independently as well as part of a team.
Experience in a computerized environment. Intermediate knowledge of Word, Excel, and Microsoft Outlook. Detailed working knowledge of spreadsheet and database preparation and manipulation.
Demonstrated ability to prepare correspondence.
Ability to work in a fast-paced deadline-driven environment, maintaining focus and completing multiple tasks in short turnaround times.
Ability to set priorities and outstanding organizational skills.
Demonstrated ability to communicate effectively, both verbally and in writing with a wide range of customers (i.e., the public, Councillors, School Boards, Businesses, Churches, media, other City Departments, election candidates and workers).
Must possess a Class “G” Driver’s License.
Must be flexible in work schedules and available to work overtime as required to meet election operational needs. Must be physically capable of lifting up to 35 pounds.
Knowledge of the Municipal Elections Act and Employment Standards legislation would be an asset.
