Job Description: Job Summary The purpose of this role is to provide highly confidential administrative support and coordination to the Social Mission Department team and especially to its accountability and business administration functions. The Administrative Coordinator works to optimize departmental processes to improve synergy and flow within the department and between Social Mission and its partners. Key Accountabilities Provide confidential administrative support to the Assistant Social Mission Secretary, including correspondence management, meeting coordination, and document preparation. Track mission proposals, action plans, capital projects, financial schemes, and other key submissions from Ministry Units to Territorial Headquarters. Verify that all submissions meet approval requirements, include proper signatures, and contain complete supporting documentation. Maintain secure electronic filing systems and safeguard highly confidential personnel and compliance-related information. Prepare presentations, reports, and communications for boards, committees, and Ministry Units. Support Ministry Units with navigating Mission Services and Mission Support processes at Territorial Headquarters. Prepare agendas, minutes, and follow-up communications for Social Mission meetings and streamline meeting processes where possible. Track meeting action items and prepare follow-up reports related to capital projects, audits, mission proposals, and other business matters. Assist with various staff processes including event logistics, travel/expense coordination, administrative processing (visas, inventory, fleet, insurance), and secure document storage. Provide general administrative support to Regional Directors, manage departmental absence calendars, conduct research, and complete other assigned duties. Education and Experience Qualifications A university degree or college diploma in business, administration, social services, or similar. A combination of education and 5 years administrative experience may be considered. 5 years’ experience working in executive office administration Skilled in Microsoft Office 365 (Word, Excel, PowerPoint) and able to learn new and ongoing software systems with ease. Experience with organizing special events, team meetings, etc. Strong communication, interpersonal, and collaboration skills, with a calm and professional demeanor. Highly organized, with the ability to create/maintain administrative systems and manage multiple priorities effectively. Quick learner who adapts well to new processes, tools, and fast-paced environments. Self-motivated, dependable, and able to maintain strict confidentiality and sound judgment. Attention to detail and ability to perform occasional physical tasks (e.g., lifting up to 20 lbs). Compensation: The target hiring range for this position is $55,693.49 to $69,616.86 with a maximum of $83,540.23. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
