Job Description: What you'll do:

Onboarding New Hires:
-
Schedule onboarding training and team connects, assist with reserving meeting space, update new hire trackers

Ensure all elements of the onboarding checklists are completed in a timely manner to provide a successful onboarding experience for new hires

Proactively liaise with IT, Recruiting and HR Partners to avoid delays with the onboarding process

Procurement and Finance support:
-
Office procurement and inventory control and reporting, processing invoices, and researching inquiries
-
Expense Processing for Office P-Card
-
Facilities support:
-
Supply ordering, management and restocking
-
Daily Meeting room management, workspace reset, kitchen area and copy room management, etc.

Liaise with building property management staff
-
Workplace management system/reservation support
-
Daily reception support to include answering office line; greeting vendors and visitors; managing incoming/outgoing mail and deliveries; maintaining visitor logs
-
Basic meeting AV support including Zoom and Teams

Office Events:
-
Planning and scheduling of office events, meetings and initiatives
-
Set-up/breakdown/clean-up activities for office events and meetings
-
Maintain office calendar with logistics for all meetings and events
Other:

Support Office Manager as the Safety Committee \& ISO Compliance Co-lead

Space Planning:
-
Support space planning committee in reviewing research on potential office locations for the new Toronto office. Attend property viewings and work alongside the planning committee to collaborate with designers on new office layout and design of the new office

Assist in office grand-opening
-
IT Backup Support:
-
Liaise with cross-office IT technicians to troubleshoot technical equipment, assist in network outages, etc. during scheduled vacations/sick days for our full-time IT Support Associate

Address problems and troubleshooting with internal and external stakeholders
-
Manage special projects with demanding deadlines
What you'll bring:
- High school diploma required. Post-secondary education or Associate or Bachelor degree preferred.
- 3 years of relevant work experience as an operations assistant, preferably in a professional services environment
- Fluent in MS Office (Excel, PowerPoint, and Outlook), calendar management, email systems
- Strong oral and written communication skills
- Professional appearance and demeanor with ability to exercise good judgment and discretion
- Good time management skills, attention to detail, dependability, flexibility
- Proactive self-starter with ability to manage a wide variety of tasks and meet deadlines
- Experience working both independently and with a team in a demanding environment
- Ability to lift fifty pounds
- Positive attitude and sense of humor
