Description
The Office of the Senior Associate Dean Education in the Cumming School of Medicine is currently seeking a Full-time Regular Senior Manager.
This position reports to the Senior Associate Dean Education - Cumming School of Medicine (CSM) with accountabilities to the Senior Director - CSM and the Vice Dean - CSM. The position encompasses a broad range of responsibilities including strategic management, human resource management, budgetary and financial oversight and accountabilities, project and logistical management of various aspects of educational operations and initiatives, related support services and relevant business processes.
The Senior Manager supports the Senior Associate Dean to develop and oversee operational, budgetary and HR requirements for each portfolio. This includes regular interactions with education leadership and staff including: Senior Associate Deans, Associate and Assistant Deans, Clinical Directors, and MaPS Managers/Directors. The Senior Manager has numerous direct supervisory relationships with AUPE Operations Coordinators and AUPE Support Staff.
Summary of Key Responsibilities (job functions include but are not limited to):
Human Resources Management:
- The Senior Manager will supervise the staff in the areas of responsibility and provide regular and timely feedback to staff. The Senior Manager will monitor the workplace climate and team spirit and ensure employee engagement. The Senior Manager will monitor the development and administration of educational activities to ensure staff improve skills that relate to their positions. The Senior Manager will assess staff resources, processes and spending to streamline office processes and procedures and improve consistency in service delivery.
Financial and Budgetary Oversight:
- Development and implementation of policies, deadlines and management controls to ensure proactive budget management to ensure the short and long term financial viability of the operation of Medicine Education, Instructional Resources, and the Medical Skills Centre. The Senior Manager will ensure full compliance with University policy, government regulations.
Operations Management:
- Is an ongoing responsibility of the Senior Manager to ensure that new and better opportunities for business improvement and fiscal responsibility are explored. The Senior Manager will investigate and assess new opportunities, new processes, business models and technologies to ensure units are operating optimally.
Business Assessment and Strategic Plan Alignment:
- The Senior Manager will develop and annually update business and strategic plan for the Instructional Resources and Medical Skills Centre and contribute to strategic planning for Medical Education. This will require comprehensive assessment business practices to determine the status of efficiency in each unit (financial, programs, activities), opportunities and threats to the unit, and projections for 3-4 years. This will be done in collaboration with the unit Coordinators/Managers.
Committee Memberships:
- The Senior Manager will participate in appropriate committees to further the strategic vision of the Cumming School of Medicine and develop partnerships with units within the faculty and campus wide.
Qualifications / Requirements:
- Post-secondary degree in Business Administration or related field. Master's degree preferred
- Will consider candidates with suitable combination of education and experience
- Previous experience working in an educational, health care, human resources or finance department preferred
- Previous experience in medical education programs or related health professions field
- An advanced understanding of government reporting and the requirements of that process
- In-depth understanding of AUPE and MaPS processes
- Experience in Human Resources activities in a unionized environment
- Previous experience, knowledge and skills in a management role
- Previous experience and understanding of the University structure and operation would be an asset
- Ability to communicate effectively with staff, faculty and students
- A dedicated leader and team player
- Previous experience in preparation of formal reports to committees, faculty, senior leadership and government agencies
- Understanding of the University Financial Reporting System would be an asset
- Strategic, analytical, organizational planning, decision making and financial management skills
- Ability to function in a fluid, dynamic environment where urgent action and decision-making may be required
- Excellent problem solving and critical thinking skills
- Ability to work autonomously
- Previous experience in developing and implementing policies and procedures
