The UCalgary Global Learning in the Office of Signature Learning Experiences is currently seeking a Full-time Regular International Learning Programs Advisor.
The University of Calgary offers a variety of opportunities for undergraduate and graduate students to complete part of their degree program through international study, research, and internships. UCalgary Global Learning (part of the Office of Signature Learning Experiences) administers or coordinates many of these programs in support of the University's Global Engagement Plan.
Reporting to the Manager, Global Learning with additional supervision and direction from the Manager, Education Abroad and Director, Global Learning, the International Learning Programs Advisor will provide advising and support to incoming international exchange and research students, guiding exchange partners and students through UCalgary's incoming global learning application, admission and course registration processes, and helping coordinate orientation/welcome programs. They will also provide non-academic advising to outgoing global learning students, making referrals to relevant stakeholders as appropriate. They will review and process applications and supplemental documentation related to study abroad programs and grants, providing exceptional support to students throughout the process. They will also support our peer helper program, contribute to marketing and promotion efforts, and perform a variety of administrative and organizational support services, ranging from complex to routine, all of which contribute to the efficient and professional operation of the unit and its programs and activities.
Regular workday is Monday to Friday, 8:30 a.m. to 4:30 p.m. Peak periods occur throughout the year: in September and January with the start of the school terms, in February/March for processing incoming exchange applications and in April for assisting incoming students with registration and end of term, and providing outgoing student pre-departure support.
Summary of Key Responsibilities (job functions include but are not limited to):
- Effectively respond to inquiries from international partner institutions as well as prospective, current and past incoming exchange and research students in a timely manner;
- Work in collaboration with Enrolment Services, Graduate Studies, Faculties and other service units to process incoming mobility applications with varying requirements;
- Administer and guide mobility partners and incoming students through the UCalgary incoming application and admission process;
- Advise prospective and accepted incoming exchange students on current course restrictions and limitations and assist students in navigating the course approval and registration process;
- Communicate and liaise with advisors and departments to support incoming exchange course approval and registration processes and advocate for students to resolve issues as appropriate;
- Facilitate virtual and in-person co-curricular wraparound programming for incoming mobility students to support their transition to UCalgary and connect them to other on-campus to enhance their transition to UCalgary
- Co-ordinate with International Student Services for immigration and post-arrival student support;
- Provide in-person and virtual general advising on global learning programs, responding promptly to inquiries regarding available opportunities, eligibility requirements, application procedures, etc.;
- Work within University of Calgary systems to process global learning program applications and acceptances, including the collection of supporting documents and verification of compliance with application requirements according to individual program processes;
- Track submission of applications, supporting documents, payments, and other pre-departure processes, and ensure compliance with program requirements and University policy;
- Assist with the administration of the various grants and funding opportunities through UCalgary Global Learning, including corresponding with students throughout the application process, collecting and organizing applications, tracking promotional requirements and collecting reports from recipients after program completion;
- Contribute to the development, production and revision of both general and program-specific informational and promotional materials and presentations (i.e. brochures, posters, handbooks, website, etc.);
- Maintain and update the incoming exchange sections of the Global Learning website, and other UCalgary Incoming Exchange forms and informational and promotional resources, ensuring information is current and appropriately positioned to the different audiences, including partner university staff and prospective exchange students;
- Coordinate and facilitate incoming student wraparound programming to support students' transition to UCalgary and connect them to other on-campus resources to enhance their transition to UCalgary
- Create and maintain files, spreadsheets and databases for quick retrieval of information and preparation of regular progress reports, ensuring a high level of accuracy.
Qualifications / Requirements:
- Undergraduate degree;
- Excellent written and verbal communication abilities;
- Advanced skills in Microsoft Office applications (Word, Excel, PowerPoint, Teams, etc.);
- Strong web application skills (Drupal), experience with D2L, Zoom, and demonstrated expertise in Canva or similar programs;
- Experience with Qualtrics or similar survey programming;
- Knowledge of university policies, procedures and business systems (including familiarity with PeopleSoft);
- Knowledge of both academic and non-academic university regulations, programs, procedures and services, including University of Calgary degree processes and requirements; previous university work experience desirable;
- Demonstrated ability to seek out, retain and accurately convey large amounts of detailed information to a variety of audience, particularly those without English as a first language;
- Well-developed organizational skills and ability to independently plan for and efficiently manage multiple tasks and priorities under the pressure of tight deadlines;
- Ability to quickly and effortlessly change direction based on new/changing priorities;
- Detail oriented, accurate and quality focused;
- Ability to creatively challenge and demonstrate initiative to generate improvements and foster positive outcomes;
- Good interpersonal and communications skills to deal with constant and sometimes complex inquiries in a professional manner;
- Proven problem-solving skills, maturity and sensitivity to deal with client questions and work with student volunteers;
- A second language considered an asset (French, Mandarin or Spanish preferred);
- Familiarity with a variety of countries and cultures, including understanding of and experience with cross cultural communication and adaptation;
- Previous experience in global learning or working abroad is strongly preferred;
- Experience working with a Point of Sales (PoS) machine considered an asset.
